We seek to hire an enthusiastic, detail-oriented, organized Office Clerk / Customer Service to join our team. The ideal candidate will excel in a fast-paced environment, possess strong clerical skills, demonstrate proficiency in managing and organizing files and documents, have experience in customer service, and be able to work well independently and get along well with others. As a File Clerk, you will be crucial in maintaining accurate records and supporting the accounting's administrative functions.
RESPONSIBILITIES AND DUTIES INCLUDE BUT ARE NOT LIMITED TO FOLLOW:
· Provide exceptional customer service to clients professionally and courteously.
· Professionally and quickly assist customers with inquiries, concerns, requests, and complaints via phone, email, and in person.
· Selling bus tickets, booking, canceling, confirming reservations, checking in customers; handling customer relations and lost and found.
· Provide accurate and timely information regarding products, services, and company policies.
· Follow company policies and procedures to ensure customer satisfaction.
· Maintain accurate and detailed customer records and update information as needed.
· Collaborate with other departments to resolve customer issues and ensure customer satisfaction.
· Handle customer relations and solve customer issues promptly, efficiently, and professionally.
· Prepare and audit driver paperwork and open and closing shift duties.
· Maintain a clean, neat, orderly front office area and Check-in Office at all times.
· Transmit and take phone call messages, and direct visitors to the appropriate departments or individuals.
· Supervise the cleaner crew and Customer Service Staff.
· Answer the phone system professionally and in a timely manner.
· Handle incoming and outgoing mail and packages.
· Prepare memos, letters, and email respondents for the company.
· Manage office supplies inventory and place orders when necessary.
· Scanning, faxing, copying, typing, auditing, managing databases, and completing general administrative duties for the accounting department.
· Organize and maintain physical and electronic filing systems for efficient document retrieval.
· Sort, label, and file documents according to established procedures.
· Follow company policies and procedures for file management.
· Retrieve files upon request and ensure proper handling.
· Perform data entry tasks to update and maintain files accurately.
· Assist with document scanning, photocopying, and shredding as needed.
· Ensure confidentiality and security of all files and information.
· Conduct periodic audits to ensure file accuracy and completeness.
· Assist colleagues in locating and accessing files as required.
· Perform routine clerical duties within a fast-paced environment and assist in the Accounting Department.
· Assist with data entry, ensuring timely and accurate processing of requests.
· Collaborated with team members to streamline administrative processes and improve filing efficiency.
· Create and prepare reports, expense reports, forms, and records in Excel spreadsheets.
· Mastering heavy data entry tasks with high accuracy and efficiency using Excel and other computerized databases.
· Handle basic math tasks related to data management and reporting.
· Create pivot tables for data analysis when required.
· Assist with other projects in the office as assigned.
· Candidate must be flexible and open to performing multiple tasks as needed.
· You may be cross-trained in other areas and perform various duties as assigned.
QUALIFICATION REQUIREMENT:
- A high school diploma is required; An Associate's Degree is preferred.
- Proficiency in English; being bilingual is a plus.
- A stable employment history, punctuality, and dependability with consistent attendance.
- Excellent phone etiquette and Interpersonal skills.
- Effective and advanced verbal and written communication skills.
- Excellent communication skills, both verbal and written.
- Previous experience in customer service roles, and money handling is required.
- Front desk reception experience with excellent customer service skills.
- Previous experience in administrative and office support.
- Ability to perform basic math calculations accurately.
- Experience in our target markets (Bus Charter, Travel, and Tour) is preferred.
- At least 2 years of general clerical work experience in an office environment.
- Strong proficiency in computer systems and software related to data entry and file management.
- Proficiency and advanced in Excel, Word, and Microsoft Office.
- Familiarity with pivot tables, data entry, order entry, databases, and file organization.
- Must be able to create and maintain spreadsheets in Excel for various reporting.
- Ability to transcribe information accurately.
- Strong computer literacy with the ability to learn new software quickly and to computerize filing systems efficiently.
- Strong clerical skills, including organizing, filing, and record-keeping.
- Knowledge of QuickBooks Desktop or bookkeeping is a plus.
- Proficient in proofreading documents for accuracy.
- Basic email, Internet Explorer (sending, receiving, and organizing communication).
- Experience in E-file and basic office machinery (copier, fax, scanner).
- Must pass a typing test with a speed of 40 words per minute. (Will test)
- Proficiency, fast, accurate data entry skills with attention to detail.
- Must have advanced problem-solving skills, handling customer complaints and using independent judgment to resolve issues.
- Excellent organizational skills and attentiveness to detail.
