Western Reserve Area Agency on Aging (WRAAA) is a private non-profit corporation, organized and designated by the State of Ohio to be the planning, coordinating and administrative agency for federal and state aging programs in Cuyahoga, Geauga, Lake, Lorain and Medina Counties. It is one of twelve Area Agencies on Aging (AAAs) in the state organized together with local service provider organizations and the Ohio Department of Aging (ODA) to form the state's public aging services network. Position Summary: The Provider Operations Specialist is primarily responsible for monitoring Agency Provider’s once a year to ensure compliance standards are being met with the Ohio Administrative Code.
Primary Job Duties:
- Conduct day to day provider operations contract and monitoring activities in the fast-paced environment for PASSPORT, Assisted Living Waiver and Adult Foster Home programs
- Perform initial and expansion provider certifications, structural compliance reviews, incident-based reviews and technical assistance
- Initiate, facilitate, and participate in provider technical assistance and staff and provider conferences to address and resolve issues
- Contribute to the maintenance of tracking and statistical record keeping
- Contribute to the development, review and revision of policies and procedures relevant to Community Services and Supports department
- Keep Provider Operations Supervisor or Senior Manager informed of operations status, issues, and provider technical assistance to address and resolve issues
- Convene and participate in provider orientation and meetings for contracted provider agencies
- Provide supervision and oversight of provider agencies/facilities, required work activities and timelines
- Perform quality assurance reviews of provider documentation
- Assure compliance with programs expectations
- Orient and train providers and internal staff as required
- Promote quality and effectiveness of Agency operations
- Provide consultation to internal clinical staff as directed
- Act as back-up for other Provider Operations Specialists
- Maintain minimum proficiency in all requisite computer applications and software
- Participate in and contribute towards accomplishment of department and Agency goals
- Perform other tasks as assigned by Supervisor or Senior Manager of Provider Operations or other designee
- This position's primary duty is to perform work directly related to the successful operation of the Agency. Accordingly, the employee must exercise discretion and independent judgment with respect to matters of significance.
- All staff have the responsibility and authority to propose ways to improve quality and to fully participate in quality improvement efforts.
- Current licensure as a social worker by the State of Ohio Counselor and Social Work Board or a Registered Nurse by the Ohio Board of Nursing preferred.
- General skills in the administration of human service/health care organization contracts, program review, and compliance
- Experience in PASSPORT or other government program reporting preferred
- Minimum three years of experience in similar or related activities
- Ability to analyze and problem solve independently as needed
- Computer skills required
- Ability to effectively communicate with the contracted provider population and general public, both in person and by phone
- Excellent writing, interpersonal, and conflict resolution skills are essential
- Ability to comprehend written material and laws related to essential job functions
- Ability to accurately document facts related to essential job functions
- Ability to comprehend, recall, and apply facts related to essential job functions
- Ability to analyze, evaluate, and implement a reasonable course of action based on available information
- Must be able to drive and have a working vehicle available in order to travel in the five county areas (Cuyahoga, Lorain, Lake, Geauga, and Medina) approximately 70% of the time
- Valid driver’s license and proof of auto liability insurance Ability to ambulate to access provider locations, lift equipment (up to 50 lbs.) and carry files to various sites as required
