Overview

Processes agent appointments and terminations within timeframes set in Enterprise Licensing department (ELD) quality and service standards across all Western & Southern Financial Group (W&SFG) entities. Front-line processing associate responsible for executing transactions. Responds to customer (internal and external) inquiries within established timeframes. Assists agents with first-time resident and non-resident licensing. Corresponds with home office personnel, field agents, financial institutions, broker/dealers and independent agents. Works with moderate supervision and is responsible for making a minimal range of decisions, escalating to Manager when appropriate and updating Manager on a regular basis.

Responsibilities

What you will do:

  • Processes Agent Licensing through a working knowledge of the licensing procedures for each state. Ensures effective handling of licensing/renewal questions/problems by properly complying with and interpreting state insurance licensing regulations.
  • Coordinates the handling of agent appointments and terminations to ensure that all forms are filed accurately with the individual states. Provides agent and all interested parties with formal communication of appointment or termination status according to quality and service standards. Responds to information requests within established timeframes.
  • Communicates with general agents, financial institutions, broker-dealers and field offices to determine which agents will renew their appointments to represent WSLIC, WSLAC, Columbus Life or Lafayette Life. Obtains renewed state insurance licenses for agents, and enters renewal information in agent databases.
  • Tracks appointments of Enterprise agents with insurance carriers.
  • Maintains the licensing databases for life and variable life licensing and appointments. Works closely with broker-dealers to ensure agent compliance with state variable insurance licensing requirements in all states, where applicable.
  • Establishes and maintains agent records in mainframe and PC systems. Ensures Enterprise licensing database is kept up to date for various W&SFG marketing departments.
  • Utilizes the appropriate systems for licensing. Informs Systems personnel when adjustments or updates are needed.
  • Provides outstanding customer service to ELD clients which include agents, general agents, banks, broker/dealers, W&S Agency offices, E-commerce providers and the core business units serviced by the department.
  • Completes other projects as assigned by management.
  • Performs other duties as assigned.
  • Complies with all policies and standards.

Qualifications

  • High School Diploma Or GED - Required
  • Must cite examples of experience working effectively within a team. Must provide examples of motivating co-workers in difficult situations. - Required
  • Proven experience identifying, researching and effectively resolving customer problems. Must provide examples of strong customer service skills. - Required
  • Must provide examples of experience adapting and demonstrating flexibility associated with changes to policies/procedures. - Required
  • Proven strong verbal and written communication skills with ability to convey information to internal and external customers in a clear, accurate, focused and concise manner. Demonstrated ability to document procedures and activities in a manner that is understandable to others and prepared using a prescribed format. Verbal and written communications are to conform to proper rules of punctuation, grammar, diction and style. -
  • Demonstrated high level of attention to detail as well as excellent organizational skills. Cite examples of organization and time management methods used to manage or prioritize workload demands. -
  • Proven strong analytical skills, including demonstrated experience identifying, defining and resolving problems, and collecting or interpreting data to establish facts and draw valid conclusions and provide effective resolutions. Must cite examples of experience working independently. Experience including identifying and resolving problems where independent decision-making and initiative were required. -
  • Demonstrated ability to effectively convey a high level of attention to detail and excellent organizational skills. Requires visual acuity to read a variety of correspondence, reports and forms and to prepare and analyze data in an accurate, neat and thorough manner. -
  • Working knowledge of word processing, electronic mail, internet, spreadsheet and database applications. -

Work Setting/Position Demands:

  • Works in an office setting and remains in a stationary position for long periods of time while working at a desk, on a computer or with other standard office equipment, or while in meetings.
  • Requires the ability to verbally communicate and exchange accurate information to customers and associates on a regular basis.
  • Requires visual acuity to read and interpret a variety of correspondence, procedures, reports and forms via paper and electronic documents, visual inspection involving small defects; small parts, and/or operation of machinery (including inspection); using measurement devices continuously. Visual acuity is required to determine accuracy, neatness, and thoroughness of work assigned.
  • Requires the ability to prepare written correspondence, reports and forms using prescribed formats and conforming to rules of punctuation, grammar, diction, and style on a regular basis.
  • Requires the ability to apply principles of logical thinking to define problems, collect data, establish facts, and draw valid conclusions
  • Performs substantial movement of wrists, hands, and fingers for continuous computer work.
  • Extended hours required during peak workloads or special projects/events.
