ROLE OVERVIEW:
We are looking for a well-organized and detailed-oriented Office Administrator to coordinate office activities and operations while providing clerical and administrative support to management. The Office Administrator will play a crucial role in supporting the smooth operation of the company’s office and contributes to driving sustainable growth.
SPECIFIC DUTIES & RESPONSIBILITIES:
- Organizing and maintaining files and records to ensure they are easily accessible.
- Accurately input and maintain data in digital and physical records, databases, and spreadsheets, ensuring data integrity and confidentiality, such as personnel, financial and other data.
- Assisting with the preparation of budgets and financial reports, such as expense tracking and job costing.
- Assisting with payroll activities, gathering and maintaining time sheets from multiple projects.
- Create, format, and edit documents, reports, presentations, and other materials as needed. Ensure documents are error-free and follow company guidelines.
- Support team with various administrative tasks on demand, such as ordering material, equipment, travel and lodging accommodations, obtaining compliance documents for new projects, and etc.
- Ensure all administrative activities are completed in a timely and efficient manner.
REQUIRED QUALIFICATIONS:
- 3-5 years minimum experience as an office administrator, office assistant or relevant role
- Outstanding communication and interpersonal skills, both verbal and written.
- Bilingual in both English and Spanish.
- Excellent organizational skills and leadership skills.
- Familiarity with office management and basic accounting principles.
- Excellent knowledge of MS Office (Word, Excel, PowerPoint) and accounting software, such as Quickbooks.
- Technical skills to operate and troubleshoot office equipment, use various software applications, and manage databases and information systems.
- Financial aptitude to manage budgets, perform basic bookkeeping tasks, and assist with financial planning and reporting.
- Ability to prioritize tasks and work under pressure.
- Attention to detail in order to ensure all administrative tasks are carried out accurately, and any discrepancies are identified and rectified swiftly.
- Adaptability and flexibility in a fast-paced environment.
- Problem-solving abilities with a proactive approach.
- Be reliable and able to multitask effectively and work independently.
- High school diploma with some college preferred.
WORK ENVIORNMENT:
- Professional office environment in a shared space with others. Occasionally may require local travel for office-related errands.
Job Type: Full-time
Pay: $16.00 - $18.00 per hour
Expected hours: 40 per week
