Summary of Position: Performs advanced and/or complex administrative and office support activities for the assigned division/department to facilitate the efficient operation of the department/organization. May resolve issues within the scope of position to ensure the department runs smoothly in the absence of the department manager. Provides excellent customer service while maintaining FERPA (Family Educational Rights and Privacy Act) and HIPAA (Health Insurance Portability Accountability Act) regulations. Support and provide backup for other office personnel. May process, verify, and maintain personal and confidential information. Train and oversee student employees and/or work study employees where applicable. This position works to promote social justice within the division and the larger academic institution.This is a full-time, benefit eligible, limited term position with an end date of 6/30/2028. This position would be hybrid eligible also that would allow for 1-2 days a week working from home after the training period.
EXAMPLE OF DUTIES

Perform office functions which may include, but are not limited to: respond to internal/external customers and staff; compile data, create, modify, proofread and edit documents, records, and reports using College standard software; maintain hard copy and/or electronic filing system; monitor inventory and budget information; schedule, coordinate, and prepare materials for meetings and/or appointments.3. Complete all required College training and responsible for maintaining the skills necessary to complete the essential functions of the position as defined by the department.4. Provide administrative support to department/division manager/faculty and students - Supporting Action/Task May Include: Provide classroom support to faculty by preparing classroom materials, coordinating textbook ordering and proctoring exams/scheduling roomsProvide information to students, staff and stakeholders within scope of work performedProvide day-to-day computer support for the division/faculty and students.Coordinate student and faculty evaluations and disseminate for accrediting agenciesUpdate and maintain student recordsAssist students with questions, class requirements, admissions, class schedules, registration, orientation, financial aid and referrals.Collect and process requests and fees for applicable facilities and servicesArrange and process travel and registration requests, student testing, orientation and student toursMonitor, negotiate and revise contract agreements and riders within scope of programProcess academic appeals and letters as neededDistribute/maintain petty cash and key requestsMonitor, maintain, analyze data and process required reportingCalculates workloads based on programIdentify and validate available hrs. for adjunct faculty 6. Assist with hiring, payroll, and budget management - Supporting Action/Task May Include: Process timecards, payroll and budgetCollect and distribute new hire paperwork to HR and CertificationMonitor contract and open enrollment budgets as the contract progressesAssist the Certification Dept. with WTCS (Wisconsin Technical College System) Certification and other regulatory agency requirementsCreate, process, and track SME (Subject Matter Expert Agreements) or AIA (Adjunct Instructor Agreements), timesheets and/or timecards 7. This position reports to: Dean of Integrated Technology Starting annual salary range based on education and experience: $20.31 - $25.54This is a full-time, benefit eligible, limited term position with an end date of 6/30/2028. This position would be hybrid eligible also that would allow for 1-2 days a week working from home after the training period.
