POSITION OVERVIEW: The Career Services Assistant provides administrative and operational support to the Career Services department, helping students and alumni navigate their career development journey. This role involves assisting with job placement efforts, coordinating career-related events, and maintaining student employment records.
ESSENTIAL FUNCTIONS:
- Ensure that graduates have records and follow-up employment interviews and that a high percentage of graduates acquire employment in their field of study.
- Frequent use of telephone calls to graduates and employers is required.
- Assist Career Services personnel with job orders as needed.
- Handles Orientation classes with every start date.
- Maintain all filing for Career Services.
- Maintain graduate follow-up.
- Assist with all correspondence from Career Services staff.
- Handle all incoming phone calls professionally.
- Timely and accurately documents graduate placement, notes, events, and clearance information on the student information system (SIS).
- Send all graduate and employer surveys/updates out regularly.
- Assist Career Services Director/Staff with Mock interviews set up and employer invitations.
- Efficiently ensure that all Graduates' placement is verified with supporting documentation.
- Attend and assist in the CS department and WTC functions/meetings as required.
- Assist with any graduate, student, and employer walk-ins.
- Additional duties as assigned.
Requirements
EDUCATION, EXPERIENCE & OTHER REQUIREMENTS:
- Minimum of high school completion, associate’s degree preferred, with experience in career services, student affairs, or administrative support.
- Experience in Customer Service is required.
- Experience working with diverse student populations is a plus.
- Must be able to work flexible hours, with a late night per week.
- Must have dependable transportation and be available to travel between both campuses and conduct miscellaneous errands as needed.
- Must have a valid driver’s license and minimum legal insurance coverage on a personal vehicle.
- To telework, the employee is responsible for ensuring to have the needed equipment and technology to perform the essential job functions (i.e., cell phone, internet).
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Ability to read, listen, write, speak, and understand English fluently.
- Ability to multitask and work in a fast-paced environment with attention to detail.
- Excellent verbal and written communication skills, plus analytical, and problem-solving skills.
- Establish and maintain effective working relationships with students, faculty, staff, and the public.
- Must be customer service oriented.
- Proficiency in Microsoft Office Suite.
- Presentation and group facilitation skills.
- Ability to organize and prioritize duties.
- Ability and willingness to comply with school policies and procedures, and state and federal laws and regulations.

While performing the duties of this job, the employee may occasionally be exposed to moving mechanical parts and vehicles. The noise level in the work environment may usually be quiet to moderate.
