About the Position

The WSS Program Coordinator provides direct support to foster care and unaccompanied homeless youth participating in the Western Success Scholars (WSS) program. The WSS Program Coordinator is part of a team that focuses on providing support to students as they journey through their academic, personal, and career goals.

General responsibilities include assisting students with their transition to the university, overseeing quarterly WSS community engagement / community building activities and events, and connecting students with resources at the university and with other local, regional, state and federal resources.

This is a full-time, permanent position. Some duties may require evening or weekend hours.

Position Duties and Responsibilities

50% - Programming and Community Building

  • In consultation with the WSS Program Manager and in collaboration with the Western Success Scholars student team leaders, plan and implement educational and community building events to include developing a quarterly calendar of events and workshops for Western Success Scholars and hosting community-wide awareness events during Hunger and Homelessness Awareness Week and National Foster Care Month.
  • Track budget expenditures to ensure programs / events stay within budget allocations.
  • Oversee logistical needs for programs / events. Examples include purchasing supplies, establishing speaker contracts, making room reservations, ordering catering, setting up event travel, arranging for guest parking, and communication with attendees.
  • Create social media and email campaigns to engage students.
  • Work collaboratively with on and off community support staff to support students' attainment of basic needs, services, and academic goals.
  • Develop creative solutions to enhance student engagement.
  • Be a welcoming presence for all Western Success Scholars and prospective students seeking information or assistance.

25% - Under supervision of the Program Manager, implement a mentoring / coaching relationship with assigned scholars to create a community of care and support.

  • Provide consistent, individualized and community outreach to students in the WSS program. Guide students in identifying, planning for, and overcoming potential obstacles; support successful goal completion; monitor student progress toward goals; conduct follow up with program participants; and offer advisement, as needed.
  • Mentor, motivate and encourage students in self-advocacy in the college process and beyond graduation.
  • Assist students with all non-academic issues
  • Inform WSS students about academic, career and personal well-being resources both off and on campus.
  • Coordinate student referrals to services to help overcome social and economic barriers.
  • 20% - Student Personnel Management

  • Hire, train, and schedule office student employees in collaboration with other staff.
  • Complete bi-monthly payroll approval
  • 5% - Student Record Management

  • Maintain detailed student contact notes, student records and appointment calendar that provides a holistic view of how a student is progressing.
  • Provide summary or disaggregated information, as requested by the WSS Program Manager, for annual or ad hoc reports.
  • Required Qualifications

  • Bachelor's degree
  • Demonstrated organizational and time management skills with an ability to manage multiple tasks in a dynamic work environment
  • Ability to work effectively with diverse populations of students, faculty, and staff.
  • Exceptional decision making, organization, and event planning skills
  • Demonstrated commitment to customer service
  • Ability to exercise professional judgment and leadership, including the ability to work independently but also in consultation with the supervisor.
  • Ability to collaborate effectively as a member of a team.
  • Skills in Microsoft Office (Word, Excel, PowerPoint, SharePoint and Outlook).
  • Preferred Qualifications

  • Master’s degree in Student Services / Higher Education, Social Work, Counseling or Education or terminal degree
  • Work experience with foster youth, homeless youth, or youth in care
  • Experience working with low-income, first-generation, and underrepresented students
  • Experience with College Success Foundation, Washington Passport to Careers Program, or similar educational programs
  • Experience supervising student staff
  • Fluent in more than one language
