Deposit Operations Manager Job Summary
The Deposit Operations Manager manages all aspects of the Deposit Operations function: bookkeeping, check image processing, wire transfer, debit card disputes, etc. Manages workflow involving internal deposit operations including but not limited to: reviewing ACH, wire transfers, correspondent bank accounts and general ledger accounts. Reviews and interprets policies and procedures for Deposit Operations Department and makes necessary changes to ensure compliance and efficiency.
Essential Functions (primary functions and/or reasons the job exists in order of importance)
- Manages all aspects of the Deposit Operations function including workflow.
- Maintains controls and procedures for existing, new, and expanded bank products and services, as well as directs Operations staff to maintain compliance.
- Ensures compliance with state and federal laws, regulations and Bank policies and procedures.
- Ensures internal controls are implemented and maintained in accordance with FIDCIA requirements.
- Supervises and monitors compliance, tracking, and data entry of electronic funds transfers.
- Reviews and approves wires and ACH daily transactions for appropriateness and compliance with internal controls and policy limits.
- Manages the review process of new accounts, maintenance and loan maintenance through Identifi workflows to ensure regulatory guidelines.
- Manages Legal Requests such as subpoena and garnishment requests ensuring timely delivery.
- Maintains correspondent bank relationships and monitors and maintains daily cash levels through completing/reviewing reconciliations.
- Monitors Federal Reserve account on a daily basis including, ACH, Wire, Cash Letters, and Check Returns activities.
- Monitors FNMA loan accounts and submits daily/monthly investor/servicer reports.
- Investigates and resolves complex issues and requests from Westfield Bank’s internal/external customers, which may involve in-depth research and a comprehensive knowledge of all products and deposit regulations and laws.
- Performs talent management responsibilities including employee selection, performance management, coaching, and development. Manages priorities and workload distribution, and removes barriers that impede progress. Completes all personnel, salary administration, and reporting duties. Performs operational responsibilities that drive team performance including planning, execution, process improvement and best-practice sharing.
- Researches and prepares entry corrections as required for both customer accounts and general ledger accounts. Prepares appropriate correspondence with account holders.
- Supervises and assists with account issues as it relates to Deposit Operations.
- Supervises foreign check and saving bond processing.
- Processes and reports on Ohio Sales Tax, Escheatment, and lolta.
- Maintains awareness, understanding, and compliance with the Bank's internal policies and procedures, laws, and regulations appropriate for this position.
- Provides assistance in response to regulatory and internal/external audit requests.
- Travels occasionally in order to participate in special assignments, training, and/or travel between office locations.
Desired Qualifications/Experience/Certification/Education (in Order Of Importance)
- 5 years of banking deposit operations experience.
- 2 years of financial institution administration, operations and procedures.
- Experience analyzing problems and developing strategies for resolution gained through previous work assignments.
- Excellent oral, written, and interpersonal communication skills resulting in the ability to interact with all levels of bank personnel.
- Experience coaching and developing direct reports with proven results.
- Experience with Microsoft Windows, Outlook, and Excel or transferable software packages.
- Experience working independently as well as within a team environment.
- Experience maintaining a high degree of customer service focus and professionalism.
- Bachelor’s degree in Business or related field or commensurate experience.
- Valid driver’s license and a driving record that conforms to company standards.
