Job Summary
We are seeking a dedicated, versatile professional for a dual role as Human Resources (HR) Manager and Executive Administrative Assistant. This role combines strategic HR leadership with high-level executive support, providing essential services to our organization and direct support to the Executive Team.
The ideal candidate will be highly organized, proactive, and skilled in both HR practices and executive administration. They must demonstrate exceptional communication abilities, a professional presence, and advanced proficiency in Microsoft Excel for data analysis and report generation. Additionally, they should excel at drafting clear and concise business reports, meeting summaries, and executive communications.
This role is ideal for an HR professional who is equally passionate about supporting executive leadership, contributing strategically to business initiatives, and ensuring operational efficiency at the highest levels.
Key Responsibilities
Executive Administrative Support (Primary Function)
- Meeting Management: Prepare detailed meeting notes and concise summaries, ensuring clear action items and follow-up.
- Executive Communication: Draft, proofread, and manage executive correspondence, maintaining a professional tone in all communications.
- Calendar & Scheduling: Manage complex calendars for the CEO, COO, and EVP, coordinating internal and external meetings with efficiency and foresight.
- Reporting & Analysis: Utilize Microsoft Excel to analyze data, generate business reports, and support decision-making processes.
- Presentation Development: Create polished PowerPoint presentations and other business documents for executive meetings and presentations.
- Project Coordination: Conduct research, organize documentation, and support strategic initiatives with precision and attention to detail.
- Professional Presence: Act as a trusted representative of the Executive Team, demonstrating professionalism in all interactions.
Human Resources Management
- Talent Management: Oversee recruitment, onboarding, and employee relations to support a positive workplace culture.
- Compliance & Administration: Administer employee benefits and maintain HR systems in compliance with legal and company policies.
- Policy Development: Implement HR policies and best practices to align with organizational goals and drive employee engagement.
- Performance Management: Support staff growth and company objectives through effective training and development programs.
- Confidentiality & Advising: Maintain accurate employee records and provide guidance to management and staff on HR-related matters.
Qualifications
- Education: Bachelor’s degree in Human Resources, Business Administration, or a related field required.
- Experience: Minimum of 3 years in Human Resources, with at least 1 year in a managerial or senior HR role. Experience in supporting executive-level leaders is highly preferred.
- Technical Skills: Advanced proficiency in Microsoft Office, particularly Excel (for data analysis and reporting) and PowerPoint (for presentation development).
- Communication: Exceptional ability to write clear and concise meeting notes, business reports, and executive correspondence.
- Professionalism: Demonstrates a polished and professional presence, with strong interpersonal and organizational skills.
- Multi-tasking: Proven ability to manage multiple priorities and maintain confidentiality in a fast-paced environment.
Salary Range
For the Indianapolis area, this dual role typically commands a salary range of $60,000 to $80,000 per year, based on qualifications and experience, with opportunities for performance-based incentives.
