Job Description
We are seeking an Office Receptionist for our New York, NY office. The successful candidate will be responsible for providing support for the office including the front desk / reception area. This position will coordinate all reception activities and be the first point of contact with external parties. This role is a key position in working directly with Management and all Company departments. This position requires a high degree of professionalism combined with excellent communication skills. We are looking for an individual who enjoys working with people, can multitask and has a friendly, outgoing personality.
Responsibilities
Greet and guide visitors to their destinations upon validation of credentials.
Assist employees with building access issues and general reception queries.
Arrange for temporary access passes where required.
Responsible for coordinating day-to-day front desk activities for the Company.
Act as the first point of contact for incoming external calls and Office visitors.
Coordinates office equipment requests and office supply orders for all Departments.
Responsible for ordering / stocking of office pantry and supply closet
Coordinates and distributes the incoming and outgoing Company mail.
Focal point for coordination of Office project activities in conjunction with Head of Office and external contractors.
Responsible for coordination of service calls with copy / print machines and other office equipment
Maintains and develops checklists in support of position responsibilities.
Acts as a point of contact for IT hardware coordination with contract IT group.
Assist with coordination of facilities and ancillary support for Company training sessions.
Qualifications
High school diploma required; with business related Associate Degree preferred.
5 years of office management / administrative support experience inclusive of demonstrated ability to work effectively.
Excellent interpersonal and written communication skills.
Proven ability to work collaboratively with diverse individuals and teams.
Possess strong work ethic and professional standards.
Highly motivated, organized and detail oriented, with the ability to multi-task and work with challenging issues, while establishing and meeting deadlines.
Displays well developed independent judgment in performance of job responsibilities.
May require the ability to safely lift, move and carry items without assistance, weighing up to 10 lbs.
Strong computer skills to include demonstrated proficiency with Microsoft Office Suite applications and ability to learn new software.
Ability to work effectively with limited supervision in execution of job responsibilities.
