JOB DESCRIPTION
Job Title: Administrative Assistant/Receptionist
Division: Human Resources
Status: Non-Exempt
LOCATION: Yonkers, NY
REPORTS TO: Vice President / Human Resources
SALARY: $40,000.00 - $45,000.00
Summary:
The Administrative Assistant/Receptionist position provides general office support in the main office. The primary responsibility is to perform all receptionist duties at the front desk. This position will also provide additional support with special projects and event planning, in addition to the Property Management and Human Resources department as needed. Proof of Covid 19 vaccine is required. The schedule consists of Monday – Friday, 8:30am to 5:00pm. Spanish speaking required.
Responsibilities include but are not limited to:
Administrative Duties
Serves as the first point of contact for all visitors and notify appropriate person of their arrival.
Operate phone switchboard for the entire office and direct all calls to the appropriate parties.
Responsible for all administrative tasks associated with operating a professional front desk function- mailings, distributing employment and housing applications, ordering and stocking supplies, and maintaining calendars.
Ensure that all office waiting areas display an exemplarily organizational culture by being neat, organized, and welcoming.
Provide administrative support to other departments as needed.
Other administrative tasks as assigned.
Property Management and Maintenance:
Mail out monthly rent bills and assist with sending out 3 day notices to tenants with arrears.
Update the Vacancy Status on our website.
Maintain and canvas the waiting list for potential residents to help fill vacancies and send out applications
Follow up with tenant complaints and assist in bringing the matter to a resolution.
Provide support to the Program Assistant and the Property Managers for tenant recertification’s.
Print out weekly vacancy reports for Property Management placement meetings held every Monday.
Provide backup support in creating work orders
EXPERIENCE AND QUALIFICATIONS:
College degree preferred; High School Diploma/GED required. Three or more years of administrative and/or receptionist experience required. Must be able to multi-task with high organization and efficiency. Experience working in a social service or property management setting is preferred. Excellent oral and written communication skills are required. Microsoft Office including Word and Excel required.
