LEISURE SALES COORDINATOR
JOB DESCRIPTION
PrimaryResponsibilities: The Sales Coordinator will be responsible for supporting the Prince Resorts Hawaii (PRH) Leisure Sales Department. This position will be responsible to support the administrative tasks of the domestic/International Leisure Sales department for three unique properties including the Mauna Kea Beach Hotel, The Westin Hapuna Beach Resort and the Prince Waikiki.
Essential Functions:
1. Assist Directors and Managers in creating and distributing VIP Alerts for travel agents, wholesalers and other VIP clients.
2. Assist the leisure team with direct customer contact questions (by phone and email).
3. Assist in customizing personalized messages and process all amenity requests for sales clients and extended customers.
4. Work with each hotel’s reservations department to process all client stay bookings and create special touch points/reminders on each booking to ensure details are communicated with the Operations Departments.
5. Create a trace file for all client and customer VIP reservations and work with each Hotel’s Operations Department to ensure all details and touch points are set and executed.
6. Assist the Director of Leisure in merging, sending and distributing the final countersigned copies of all wholesale contracts and addendums to the client and internally within the Operations Department at each hotel.
7. Assist the Director of Leisure in conducting a compset analysis and other trends relevant to each property.
8. Assist the Director of Leisure in updating all client contact lists and sending a follow up email to customers post sales trips and familiarization groups.
9. Assist the Leisure Department in generating content for the quarterly PRH travel agent newsletter.
10. Assist the Director of Leisure in conducting an annual review of all wholesale, travel agent and luxury consortia websites/intranets/gds to ensure images and content are up to date.
11. Prepare all collateral, client gifts, tradeshow and other materials and ship for sales trips.
12. Coordinate and assist Directors/Managers as needed for client site inspections, meetings, presentations, and familiarization groups.
13. Create client gift/amenity items and manage the inventory for the department and each hotel as needed.
14. Distribute alerts/advisements on any on sites to all departments.
15. Process all monthly invoices and expense reports for Directors and Managers.
16. Run monthly reports and assist in other projects as assigned.

1. Perform other related duties as assigned or required.

Working Conditions:
- Normal office conditions, sitting, lifting, standing.
- Outdoors to give tour of the hotel or greet clients.
- Must be extremely organized and able to multi task in a fast paced environment. Must have excellent attention to detail and follow up.
- Must be able to travel off island or out of state if required
- Must be able to work schedule determined by the Director of Leisure and Sales Managers.
- Must be able to work in excess of 40 hours per week if required.
- Demonstrated proficiency use of computers, resort’s and sales applications and other company system software including but not limited to: Opera, Microsoft Office, PowerPoint and Excel.
- Ability to use various office equipment including but not limited to telephones, calculators, photocopiers and facsimile machines.
- Must have access to a vehicle and valid driver’s license.
- Ability to multi task and work in a fast paced environment.
- Must be able to prioritize and organize workload to ensure deadlines is met.
- Able to manage stressful and challenging situations in a calm and professional manner.
- Able to stand and walk up to 3 hours in a day to meet with clients, conduct tours, meet with departments and attend meetings.
- Able to sit at a desk for a minimum of 8 hours to do administrative duties.
- Travel on airplanes; carry luggage and sales and marketing material.
- Lift, carry, push, and pull up to 50 lbs.
- Be mobile for travel, walking, lifting 50 lbs.
- Must be able to effectively communicate with customers.
- Must have strong verbal and written communication skills.
- Must be able to speak, read and write proficiently in the language of English.
- Able to conduct presentations to large or small groups of people in a professional manner if needed.
- Must be able to receive feedback and coaching as necessary.
- High school diploma or equivalent.
- Hospitality Diploma or Bachelor's degree with previous experience working in hotels or other similar/related field of work in the hospitality industry preferred
- Ideal candidate will have a minimum of two years working in a similar role within sales.
- Position will be based on either the islands of Oahu or Hawaii Island, must be able to relocate if currently not based in Hawaii.
