The Shipping Coordinator performs and supports the order processing, barge scheduling, shipping, and customer service functions at the plant and terminals. The position works with numerous systems, documents, records and other groups to: plan and schedule barge movements; receive product orders; communicate order information; input and maintain shipping data and records; monitor for shipping equipment availability and fulfill maintenance requirements; complete order processing transactions; generate inventories and related production information for various products at terminals; create batches and input product analysis for Certificate of Analysis at terminals. The Shipping Coordinator performs the primary thinking encompassed by this job description, complies with all Company policies and procedures, and fully supports Company goals of continuous improvement and operational excellence at strategic and tactical levels including reviewing area of responsibility for improvement opportunities to initiate projects or communicate ideas to management as well as active participation on project teams.
PRIMARY RESPONSIBILITIES
- Ability to plan best use of marine assets for product movement to both customers and terminals.
- Generate daily barge report, Corp of Engineer Report, etc.
- Reconcile shipments and terminal inventories for month end closing to ensure all shipments and discharges have been posted correctly.
- Maintain accurate and up-to date files, records and documentation.
- Serves as a key informational source for Customer Service and Product Coordinators to facilitate order scheduling and operations planning for barges.
- Interface directly with customer or supplier regarding order issues as necessary.
- Coordinate efforts to ensure no off-spec product is released from the plant, without proper approvals.
- Maintain integrity and confidentiality of files and records.
- Provide support to departments, including audit requests, document filing and organization.
- Support the ongoing plant ISO registration by meeting ISO standards as set forth in the Quality Manual and related work instructions.
- Comply with Company Safety Policies and Procedures.
- Perform other related duties as required and assigned.
- Manage daily work environment that includes constant priority changes.
MINIMUM QUALIFICATIONS
- High School Degree, Associate’s degree or Bachelor’s degree. Experience in planning and scheduling preferred.
- Proficiency with SAP, Microsoft Office products (Outlook, Word and Excel) and the ability to develop a high level of proficiency in other computer systems.
- The ability to work with very little supervision, problem solving, organization and prioritizing skills, respond to multiple questions and request for information and effective communications and interpersonal skills.
- Ability to work well in a team environment, including cross-functional teams.
