WestLand is seeking a detail-oriented, organized, and proactive Proposal Coordinator to join our Marketing & Business Development team. This role is pivotal in supporting our proposal development efforts across the environmental consulting, cultural resources, GIS, landscape architecture, and engineering service lines. The Proposal Coordinator will lead the coordination and production of high-quality, compliant, and compelling proposals and qualifications packages in response to public and private sector solicitations.

The Proposal Coordinator will work closely with the Marketing and Proposal Manager, technical staff, and project managers to create documents that highlight WestLand's expertise, align with client expectations, and support our growth in the Water and Ecology sector under the Trinity Consultants family. This position may be based out of WestLand's Phoenix, Portland, Seattle, or Tucson office locations.

What will I be doing?

  • Proposal Development & Management
    • Coordinating the full lifecycle of proposal development, from opportunity identification and RFP analysis to final submission.
    • Interpreting and ensuring strict compliance with solicitation requirements (formatting, content, deadlines, and delivery instructions).
    • Developing and managing proposal schedules, facilitating kickoff meetings, and assigning roles/responsibilities.
    • Leading internal coordination of input from subject matter experts, technical staff, and subconsultants.
  • Content Creation & Editing
    • Writing, editing, and tailoring proposal content including project descriptions, staff resumes, cover letters, and executive summaries.
    • Collaborating with team members to ensure that content is accurate, compelling, and aligned with WestLand and Trinity's brand and messaging.
    • Maintaining proposal templates and ensuring consistency in formatting, style, and tone.
  • Database & Resource Management
    • Supporting and maintaining the employee resume database and project history system for streamlined proposal development.
    • Maintaining and organizing boilerplate text, templates, and graphics for efficiency and consistency.
    • Tracking and reporting on proposal outcomes, win/loss metrics, and post-submission debriefs for process improvement.
  • Collaboration & Team Support
    • Working with business development, technical, and marketing staff to support pre-positioning and client engagement strategies.
    • Assisting with marketing initiatives including collateral development, presentations, and client outreach materials as needed.
    • Contributing to the development of best practices, process improvements, and tools to enhance proposal efficiency and quality.

What qualifications are required for this role?

  • A Bachelor's degree in Communications, Marketing, English, Environmental Sciences, or a related field.
  • 2 or more years of experience in proposal coordination, preferably within the A/E/C or environmental consulting industry.
  • Strong knowledge of proposal processes for public agencies and private clients, particularly in the environmental and water sectors.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe InDesign, and proposal management tools (e.g., SharePoint, CRM systems).
  • Excellent writing, editing, organizational, and time-management skills.
  • Ability to manage multiple projects with varying deadlines in a collaborative, deadline-driven environment.

The salary range for this position is $68,000 to $78,000 annually.
