SUMMARY
The Front Desk Associate is responsible for coordinating the daily administration of doctors, staff, visitors, and patients at the clinic. The front desk team is essential in ensuring patient care is our number one priority flawless execution of the customer experience.
JOB FUNCTIONS
- Greet patients within 3 seconds of arrival and provide excellent patient care.
- Schedule patient’s appointments; actively work to reschedule as openings are established.
- Contact patients to confirm appointments.
- Acquire medical history and chief complaint of patient.
- Prepare patient chart, verify of insurances, and update patient information at each visit.
- Track and report daily scheduling metrics in the dashboard.
- Perform simple bookkeeping such as collecting all patient balances and co-pays due before service and post accurately.
- Ensure waiting and office area is clean, neat, and organized.
- Performs work accurately and thoroughly despite time pressure and patient volume; identifies situations involving unsatisfied patients and acts quickly for resolution.
- Scan or read incoming materials to determine how and where they should be classified or filed.
- Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.
- Assist as needed with faxing, copying, making phone calls, preparing patients’ medical records, scanning, patient referrals and Rx refills.
- As needed, assist patients with the selection and dispensing of frames and lenses, and assist patients with contact lens education.
REQUIREMENTS
- High school graduate or equivalent.
- Bilingual - Spanish/English required.
- Shall be able to read, write, and speak English.
- Extremely efficient, organized, and resourceful.
- Must be flexible and able to function well in a fast-paced environment with great interpersonal skills to deal with many personalities.
- Strong decision-making skills.
- Exceptional verbal and written communication skills.
- Strong attention to detail.
- Knowledge of computer operations and proficiency in the use of basic word processing, data entry, and EHR systems.
- Proven track record of delivering the organizations results through people.
