Westminster Schools of Augusta is a Pre-K through12 regionally accredited, coeducational, college-preparatory, Christian day school enrolling over 600 students. The 34-acre campus is located in a residential section of Augusta, which is Georgia’s second largest metropolitan area. The school is affiliated with First Presbyterian Church of Augusta (PCA), but the student body and faculty include members from more than 90 different local churches of various denominations.

Westminster Schools of Augusta seeks a dynamic and strategic Middle School Administrative Assistant.
The Middle School Administrative Support role provides essential assistance in managing daily operations, student services, and faculty coordination. Responsibilities include:
Student and Parent Communication: Answer questions from parents and students regarding schedules, attendance, and other inquiries. Communicate any schedule changes to students and inform dining staff of pertinent lunch schedule alterations.
Attendance and Student Records: Track student sign-ins and sign-outs, maintain accurate attendance records, and manage student health forms, including administering medication. Ensure proper record-keeping of major conduct incidents and report cards.
Calendar and Schedule Management: Maintain and update the principal’s calendar and the middle school division calendar. Support the scheduling and organization of events such as parent nights and faculty meetings. Communicate and coordinate changes in schedules, drills, and alternate schedules.
Document and Meeting Preparation: Assist in preparing documents for back-to-school, course registration, and end-of-year reports. Support division meetings by preparing, uploading, and organizing meeting notes and materials. Create and distribute faculty and student announcements.
Faculty and Staff Coordination: Collaborate with maintenance and janitorial services to ensure meeting and event setups are handled. Support faculty by maintaining Google Classroom and assisting with copying, organizing, and assembling materials for meetings. Assist in preparing documents for faculty and student handbooks.
Supplies and Budget Management: Order office supplies, textbooks, copier supplies, and track budget and expenses. Process purchase orders and check requests. Secure substitutes as needed and maintain records of sub hours.
Event Coordination: Assist with organizing special events, including new student orientation, parent night, 8th-grade promotion, and student awards. Prepare and format necessary materials and certificates for these events.
Software Management: Manage software systems, including updating student records and parental permission forms, tracking attendance, and ensuring proper setup for grading and scheduling. Coordinate ERB standardized testing, including scheduling, training, and accommodations for students.
Student Testing and Exams: Create and manage testing schedules for exams and coordinate proctor assignments. Ensure exams are properly distributed, collected, and filed.
Additional Duties: Maintain records of parent interactions, create surveys, assist in parent, faculty, and student communication, and support administrative needs as requested by the division principal.
This position requires a highly organized, proactive individual who can multitask effectively and handle confidential information with discretion. This person is the face of the Middle School, so having a kind and patient personality is important.
