POSITION SUMMARY:
The Gift and Database Management Coordinator is responsible for maintaining donor database information, processing all gifts, and generating mailing lists. This role supports student success by managing gift donation information that directly supports the college and Westminster students.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Gift Processing
- Process all gifts and update biographical changes to donor records as necessary
- Work with fundraisers and accounting as necessary to clarify donor intention or any other questions related to contributions
- Maintain records of all gifts, correspondences, and gift voids and adjustments for annual audits
- Generate receipt letters that meet IRS requirements for all gifts
- Work with accounting office to reconcile processed gifts and ensure reconciliations are completed in a timely manner
- Collaborate with Advancement staff to determine ways to accurately track the success of appeals and solicitations
Database Management
- Maintain database integrity by continuously auditing data to clean data and/or determine priorities for data clean-up projects
- Generate mailing lists and reports for solicitations, invitations, and visits. Ensures lists are accurate, current, and formatted appropriately
- Serve on University Applications Roundtable (UAR) committee to help ensure uniform data across all campus platforms
Additional Responsibilities
- Hire, train, and monitor Advancement Services student worker
- Assist with events as needed
- Serve on interview committees as appropriate
- Other duties as assigned
MINIMUM QUALIFICATIONS
- Associate degree and one year of related paid or unpaid experience; or an equivalent combination of education, training, and experience
- Ability to manage project completion with tight deadlines
- Ability to work efficiently and effectively on team projects
- Strong troubleshooting, analytical, and problem-solving skills
- Proficiency in using Microsoft Office products, primarily Excel
- Passion for data accuracy and completeness
- Strong communication and interpersonal skills
- Comfortable working independently, as well as working closely in a group
- Able to work some evenings and weekends
PREFERRED QUALIFICATIONS
- Bachelor’s degree in a related field
- Experience using Blackbaud CRM or another alumni/donor database
- Experience with Informer Web Reporting
- Experience with non-profit gift processing
