This individual is responsible for planning, coordinating, and executing a wide range of events designed to enhance the member experience. This role involves working closely with members and committees to understand their needs and preferences, managing event logistics, and ensuring every detail aligns with the club's high standards. The Events Manager collaborates with internal teams, such as culinary, communications, and facilities staff, and external vendors to deliver seamless and memorable events.  Their work is integral to fostering member satisfaction, maintaining the club's reputation for excellence, and driving engagement through creative programming and exceptional service.

 

This position is a year-round, salaried position offering full benefits and, for the right candidate, the flexibility of working remotely from off-island during the off season (3 – 4 months per year).  We are seeking someone to begin this winter so together we can plan for the season ahead. 

 

Primary Responsibilities:

  • Coordinate and manage all aspects of club events, managing all Banquet Event Orders (BEO’s) for weekly events, meetings, social gatherings, private parties, and new undertakings.
  • Collaborate with members and clients to understand event requirements and tailor offerings to their preferences.
  • Create detailed event proposals, budgets, and timelines to ensure successful execution.
  • Oversee the day-to-day operations of events, including vendor management, catering, staffing, and on-site problem-solving.
  • Partner with the culinary and facilities teams to ensure seamless service delivery.
  • Maintain strong vendor relationships and negotiate contracts to ensure quality and cost-effectiveness.
  • Develop and execute creative programming to enhance member engagement and satisfaction.
  • Monitor member feedback and implement improvements to event offerings.
  • Ensure compliance with club policies, health, and safety standards.

 

 

 

Qualifications


Education and Experience Requirements: 

  1. Should have experience in Restaurant Management, Service, Inventory, Sanitation and Organization.
  2. Hospitality degree or 2-4 years in a private club setting preferred. 
  3. Alcohol safety classes such as Tips are always a plus. 
  4. Fluent English is required for any service positions at the Westmoor Club. 
  5. Staff needs to be able to converse comfortably with the members, be able to explain menu items thoroughly and correctly with a full understanding of special requests and complaints. 

 

Knowledge and Skill Set Requirements:

  1. Ability to maintain a pleasant, calm disposition under stress.
  2. Must have friendly, outgoing personality.
  3. Ability to demonstrate initiative and effective problem-solving skills within the scope of the position.
  4. Must have strong management skills and ability to train staff effectively for a fast-paced, high expectation member and guest experience.
  5. Possess strong work ethic.
  6. Strong computer skills including but not limited to Point of sale systems, Microsoft Word, & Excel.
  7. Must have good communication skills, a good phone manner, be able to multitask, and have a logical, level headed approach to all tasks.
  8. Organizational skills and attention to detail are a must.
  9. Candidate should be eager and willing to work and learn, have a strong work ethic and be available to work on weekends throughout the season.

Physical Requirements:

  1. Ability to lift between 15-30 pounds (food trays, beverage boxes, tables, decorations, etc.)
  2. Standing for up to 3 hours at a time.
  3. Going up and down stairs.
  4. Ability to frequently bend, using back and knees.
  5. Ability to stand and walk constantly is required.
  6. Ability to bend, twist, crouch, squat, pull, push, reach, and remain stationary for short period of times and perform repetitive motions.
  7. Ability to use hands, fingers, arms and wrists, hearing, smell, and verbal skills are required in order to perform job duties.
  8. Ability to differentiate color.
  9. Ability to work in indoor and outdoor conditions
  10. May be required to work evenings and weekends.

The noise level in the work environment is usually moderate to loud. The pace is generally moderate and may be fast.

Standard Club Requirements:

Employees are expected to present a clean and neat appearance while on the job. Uniforms are to be kept clean and pressed. Personal cleanliness is expected, including wearing deodorant, bathing and oral hygiene. Excessive make-up and jewelry is not permitted. Employees are expected to arrive to work on time and leave personal belongings at home or in locker. Employees should conduct themselves in a professional and courteous manner when dealing with members, management and other staff.
