The Business Office Accountant provides support to many facets of the Westover Hills Business Office functions and systems. The primary focus will include contribution management, accounts payable, expense management and other accounting processes and support.  This full-time, non-exempt position will work directly under the supervision of the Financial Controller, but closely with the entire Business Office Team as well as ministry pastors & directors, and other support staff to execute and advance the vision of Westover Hills Church. The Business Office Accountant will have access to many important and sensitive aspects of ministry. This unique access carries spiritual responsibilities of respect, loyalty, confidentiality, and care. The ideal candidate is detail-oriented, organized, and passionate about supporting the mission of the church through excellence in financial stewardship.

 

What you Will Do:

Donor Records and Contributions

  • Manage donor records and ensure timely and accurate posting of contributions, tithes, and offerings.
  • Reconcile contribution data between donor management systems and the general ledger.
  • Provide donor contribution statements and assist with donor inquiries regarding giving records.
  • Maintain confidentiality and integrity of all donor-related information.

Accounts Payable and Expense Management

  • Process vendor invoices, ensuring accuracy, proper coding, and timely payment.
  • Review, verify, and reconcile church credit card expense transactions.
  • Maintain accurate records of accounts payable transactions and ensure compliance with church policies.

Accounts Receivable

  • Record and process incoming payments for programs, events, tuition, or other church-related revenue streams.
  • Prepare and issue invoices to individuals, groups, or organizations for services or facility rentals.
  • Track outstanding receivables, follow up on past-due accounts, and maintain accurate AR aging reports.
  • Reconcile accounts receivable balances with the general ledger.

General Accounting and Reconciliation

  • Prepare and post journal entries for recurring, adjusting, and correcting transactions.
  • Reconcile credit card accounts, and other balance sheet accounts monthly.
  • Maintain the fixed asset sub-ledger, ensuring accurate recording of acquisitions, disposals, and depreciation.
  • Ensure compliance with capitalization policies and track asset useful life for proper depreciation schedules.
  • Assist in month-end and year-end closings to ensure accurate financial reporting.

Financial Reporting

  • Assist in preparing monthly financial statements and other financial reports for leadership.
  • Collaborate with the Controller to analyze financial data and ensure compliance with budgetary constraints.
  • Support the Controller in preparing for audits by providing necessary documentation and reconciliations.

Operational and Compliance Support

  • Ensure adherence to internal controls and church financial policies.
  • Assist with special projects, such as implementing new financial systems or processes, as assigned by the Controller.

Qualifications


Skills Needed to Succeed

  • Working knowledge of basic accounting principles and practices; prior accounting or bookkeeping experience required.
  • Strong experience with Excel and other Microsoft Office 365 products.
  • Experience with donor management or other church management software a plus.
  • Technology-savvy, capacity to learn systems quickly.
  • Proven ability to prioritize and meet deadlines, with high attention to detail.
  • Excellent analytical skills.
  • Emphasis on organizational skills and the ability to prioritize work assignments.
  • Creative approach to problem solving with a humble, team-first and optimistic attitude.
  • Ability to communicate professionally and effectively.
  • Demonstrate sound judgment and sensitivity in handling confidential information.
