Summary
This is an administrative and client-servicing position supporting a relationship manager with an assigned book of Wealth Management accounts to include trusts, estates, IRAs, charitable, custody and investment management accounts. The work environment is fast-paced requiring the ability to multi-task and prioritize a variety of time-sensitive, routine and non-routine client and administrative matters, with a high degree of accuracy and efficiency.
Essential Functions
- Complete essential duties for onboarding new accounts and client relationships
- Complete essential duties related to account closings.
- Initiate and monitor receipt and delivery of account/client assets.
- Daily review and management of overdrafts and un-invested cash
- Determine sufficiency of cash balances for distributions
- Work with investment staff to manage accounts’ cash availability needs.
- Manage account-related disbursements and receipts.
- Manage completion of monthly administrative account requirements
- Maintain information on Trust Accounting system.
- Review and understand implementation of legal contracts related to client relationships
- Direct communication with clients on behalf of Account Officer as needed.
- Work within stringent policy and compliance requirements and standards
- Conduct research for Trust Officers and Clients
- Coordinate directly with clients and vendors to resolve account issues.
- Assist clients with retail banking services.
- Input and index documents into department’s imaging system
- Manage account-related mail.
- Administrative support duties:
- Coordinate, administer and maintain the imaging and retention of documents as assigned.
- Support investment administration staff and functions as assigned.
- Other duties as assigned.
- Required Education, Experience, Skills
- A minimum of three years’ experience supporting a book of assigned client accounts or other relevant experience.
- Specific experience with high-net worth individuals and professionals a plus
- A combination of any of the following: Associate Degree or higher, trust experience, general administration/operations experience, legal administration experience, financial experience
- Strong organizational skills, time-management skills, analytical skills
- Effective writing abilities and phone etiquette
- Ability to organize work, multi-task, set priorities and meet deadlines.
- Ability to work effectively in a team-environment.
- Strong client-facing experience and effective at establishing client rapport.
- Ability to make independent judgment and decisions in department matters, subject to approval policies.
- Ability to maintain confidentiality in sensitive customer/bank matters.
- Strong knowledge and understanding of trust administration processes and/or financial operations a plus.
- Proficient computer, typing and technology skills (Word, Excel, PowerPoint, etc.)
- Understanding of basic estate planning concepts, a plus
- Bi-lingual a plus
