SCHEDULE: Full-Time

POSITION SUMMARY
The Mental Health Clerk is responsible and accountable for the maintenance of mental health records. In this capacity, the employee organizes and maintains a system of mental health files and logs concerning patient diagnosis, treatments, admissions, discharges and daily patient census changes. The employee is expected to exercise good judgment and confidentiality, and function independently.
DUTIES/RESPONSIBILITIES
1. Maintains a system and update facility health status requirements for inmate mental health records.
2. Files loose documentation generated from inside and outside institutions, such as: laboratory reports, completed consultation reports, progress notes, etc.
3. Ensures the security and confidentiality of all mental health records and information.
4. Retrieves medical charts for all healthcare staff or clinics, as requested
5. Validates forms for the releases of information are current, accurate and complete as defined by HIPAA.
6. Retrieves, delivers, and files mental health records daily as needed.
7. Files daily all currently used medical records to ensure ease of availability.
8. Checks to ensure that mental health files are complete (contains all necessary documents), with all loose notes properly secured, and in the correct sections.
9. Ensures that the guidelines for hardcopy clinical entries are met at all times (use of hardcopy when Electronic Health Records is not available).
10. Releases information at the direction of the Health Services Administrator or designee. Refers any requests of a questionable nature to supervisor.
11. Assists Health Services Administrator in preparing periodic statistical reports and other management information system requirements. Maintains logs for appropriate mental health staff.
12. Answers telephone, relays messages and transfers calls as appropriate.
13. Performs clerical/technical duties including typing and distributing letters, reports and memos.
14. Maintains a roster of appointment book based on scheduled appointments for both on and off-site appointment.
15. Maintains cabinets and shelves used for supporting the mental health files
16. Understands state, facility and company policies, procedures and protocols as related to mental health records. Meets timelines as relates to death records, released inmate's health records and case management, departmental productivity guidelines.
17. Makes suggestions for improving work conditions to the HSA.
Upon receiving the necessary training and/or instruction, performs other related duties as required or assigned.

LICENSURE: N/A
CERTIFICATION: Current CPR Certification
EDUCATION: High School Diploma or GED equivalent
PREFERRED EXPERIENCE: Minimum one (1) year office/clerical experience; correctional experience a plus.
