Job Summary
The Administrative Assistant is responsible for performing administrative tasks for a station or department within WFS.
Responsibilities
Schedule conference room meetings, and otherwise relieves officials of clerical work and minor administrative and business detail by performing the following duties :
Reads and routes incoming mail.
Locates and attaches appropriate file to correspondence to be answered by supervisor or manager. Composes and types routine correspondence. Files correspondence and other records.
Routes call to appropriate party and places outgoing calls. Schedules appointments. Greets visitors, ascertains nature of business, and escorts visitors to appropriate person.
Compiles and types reports.
Makes copies of correspondence or other printed matter.
May prepare outgoing mail or packages order and maintain supplies, responsible for ordering food for special meetings and maintenance of kitchen, conference room and copy / supply room.
Minimum Requirements
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and / or training; or equivalent combination of education and experience
Typing required using personal computer.
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Ability to read, write, fluently speak and understand the English language.
Preferred Skills
Ability to write routine reports and correspondence.
Ability to speak effectively before groups of customers or employees of organization.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Physical Requirements / Working Conditions
Remain in a stationary position 50% of the time.
Occasionally move about inside the office to access file cabinets, office machinery, etc.
Constantly operates a computer and other office productivity machinery such as a calculator, copy machine and computer printer.
Walk short distances.
Reach above and / or below shoulder.
Handle / grasp documents or office equipment.
Sit and / or stand for short or extended periods of time.
Lift / carry / move objects, files and documents up to 10 pounds.
Work in an office environment using standard office equipment.
Talk, listen, and speak clearly on telephone.
Maintain regular and punctual attendance consistent with the ADA, FMLA, and other federal, state, and local standards.
