We are seeking a meticulous and experienced Payroll Specialist to manage all aspects of payroll processing for our employees. The Payroll Specialist will be responsible for ensuring accurate and timely payroll, handling payroll-related inquiries, and ensuring compliance with all relevant laws and regulations. This role is critical to maintaining employee satisfaction and operational efficiency within our growing engineering firm.
Payroll Processing
- Manage end-to-end payroll processing for all employees, including data entry, validation, and reconciliation.
- Calculate wages, overtime, deductions, bonuses, and other forms of compensation.
- Ensure payroll is processed accurately and on time in accordance with company policies and legal requirements.
- Optimization and documentation of payroll processes for streamlining efficiency.
Payroll Compliance
- Stay updated on changes in payroll laws and regulations, ensuring compliance with federal, state, and local requirements.
- Prepare and submit payroll tax filings, including quarterly and annual reports.
- Handle garnishments, tax levies, and other payroll deductions as required by law.
Employee Records Management
- Maintain accurate payroll records, including employee timekeeping, wage adjustments, and benefits deductions.
- Ensure confidentiality and security of payroll data.
Benefits & Deductions Administration
- Coordinate payroll-related aspects of employee benefits, including health insurance, retirement plans, and other voluntary deductions.
- Process benefit changes, enrollments, and terminations in the payroll system.
Payroll Reporting
- Generate and distribute payroll reports, including earnings statements, payroll summaries, and labor cost analyses.
- Provide payroll data and analysis to finance and HR teams as needed.
Employee Support
- Respond to employee inquiries regarding payroll, timekeeping, and deductions in a timely and professional manner.
- Resolve payroll discrepancies by collecting and analyzing information.
Auditing & Reconciliation
- Perform regular audits of payroll data to ensure accuracy and compliance.
- Reconcile payroll-related accounts, including expense reports, benefits, taxes, and other deductions.
Expense Reporting & Reconciliation
- Manage employee expense reporting process, ensuring accuracy and timely reimbursement through the payroll platform.
- Process and reconcile corporate expenses.
System Management
- Ensure accurate data management and integration within the HRIS.
Qualifications
- Bachelor’s degree in Accounting, Finance, Business Administration, or related field (or equivalent experience).
- 3 years of experience in payroll processing, preferably within the civil engineering, construction, or related industry.
- Strong knowledge of payroll practices, tax regulations, and labor laws.
- Proficiency in payroll software (Paycom, Ajera) and Microsoft Office Suite, especially Excel.
- Excellent attention to detail and accuracy in data entry and reporting.
- Strong analytical and problem-solving skills.
- Ability to handle sensitive information with confidentiality and professionalism.
- Excellent communication and interpersonal skills.
