STARTING WAGE RANGE: 19.30-21.50 per hour
POSITION SUMMARY:
Manage the registration & roster for Whatcom Family YMCA Before and After School Enrichment (BASE) and Camp programs. Function as support staff as needed in the day to day operations with an awareness of YMCA & State Licensing policy and the YMCA Values of Caring, Respect, Responsibility and Honesty.
ESSENTIAL FUNCTIONS:
- Complete all BASE/Camp registrations and communicate new attendance, schedule changes and cancellations to site staff in a timely manner.
- Maintain BASE/Camp roster and ensure that families on the waitlist are contacted when space becomes available.
- Monitor and update BASE/Camp childcare records as needed.
- Ensure enrollment tracking technology is functioning and by maintaining and monitoring YMCA issued electronic devices including but not limited to iPads, cell phones, passwords, etc., to ensure accessibility for site staff.
- Maintain all electronic attendance records for all childcare programs and track enrollment in support of budget process.
- Provide BASE staff with monthly attendance tracking sheets and monitor camp attendance in the summer.
- Submit monthly attendance sheets to Assistant Accounting Director by the 5th of every month.
- Coordinate with the Accounting Director & Assistant Accounting Director regarding Account Receivables as needed.
- Maintain BASE email list, write and send monthly newsletter or parent communication as needed.
- Monitor absences email and respond in a timely manner.
- Interact positively with parents and address and/or report concerns in a timely manner.
- Help monitor office cell phone during full day and afternoon program hours to ensure student safety and support site staff.
- Assist with the onboarding process for BASE including interviewing, pre-work orientations, MERIT certification tracking, education tracking as required by DCYF Licensing standards, and in-service trainings.
- Assist BASE/Camp Program Director and Supervisors in office tasks as needed.
- Maintain YMCA policy and procedure and bring concerns to Director when needed.
- Follow organization’s policies and procedures regarding protecting youth from abuse; including screening and selection, training and supervision, and responding to allegations. Communicate to all staff and volunteers the organization’s commitment to protect youth from abuse.
- Follow mandated reporting requirements.

Qualifications
QUALIFICATIONS:
- One to two years of experience working with Education Aged Children is required.
- Experience supervising others preferred.
- Basic understanding of YMCA policy and procedure
- Ability to perform under deadlines, multi-task; exhibit management and group leader skills within a team atmosphere.
- Have a firm working knowledge of child development, behavior management, positive conflict resolution and social emotional learning.
- Ability to model YMCA core values of respect, responsibility, caring and honesty.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- Within 30 days of hire complete Child Abuse Prevention for Supervisory Staff; CPR, First Aid, & AED; Bloodborne Pathogens; TB Test; MERIT Background Check; provide MMR Vaccine records; Food Handler Permit.
- Proficient computer skills in Microsoft Office, Google, etc.
- Prior experience with Daxko, or equivalent, data management systems preferred.
- Personal transportation and or YMCA van certification preferred.
