POSITION SUMMARY:
This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. The BASE & Camp Staffing Specialist will Assist the Director of After School & Camp Programs to recruit, hire and support staff for our high-quality YMCA Before & After School Age Enrichment & Camp programs. The Staffing Coordinator is responsible for the oversight of scheduling, timecard processing, time off management, application review and assisting leadership in managing staffing needs across all locations.
ESSENTIAL FUNCTIONS:
- Maintain daily staff scheduling ensuring optimal coverage to meet both WA State and YMCA ratio
- Manage substitute and on-call staff placement as well as adjust staffing schedules as needed to meet business needs in collaboration with program leadership.
- Maintain accurate applicant tracking records and assist in the onboarding process.
- Oversee the accurate entry and approval of staff timecards for payroll processing; review timecard discrepancies and work with staff to resolve any issues promptly.
- Review all applications for open positions, conduct initial screening, schedule interviews and communicate with applicants to ensure a smooth recruitment process. Consult with HR as needed.
- May be asked to work in child care programs as needed.
- Work with leadership BASE staff and Human Resources to ensure that staffing needs are met by the most qualified candidate.
- Track and manage employee time-off requests (vacation, sick, personal time, etc.) ensure that time-off policies are followed and appropriately documented.
- Monitor and maintain all required certifications for employees in accordance with DCYF and YMCA standards.
- Partner with BASE & Camp leadership staff to assess staffing needs and addressing challenges, provide reports and updates as needed and offer input for onboarding process enhancements.
- Provide a comprehensive orientation of program policies and procedures to employees.
- Participate in the annual fundraising campaign.
- Represent the Y and BASE & Camp Programs at recruitment events.
- Participate in family events as assigned.
- Assist Director of After School & Camp Programs with additional duties as assigned and as needed.
- Follow organizational policies and procedures regarding protecting youth from abuse; including screening and selection, training and supervision, and responding to allegations. Communicate to all staff and volunteers the organization’s commitment to protect youth from abuse.
- Follow mandated reporting requirements.

Qualifications
QUALIFICATIONS:
- Experience with screening and placement of staff as well as demonstrated knowledge of establishing staffing schedules and patterns.
- Minimum two years related experience in managing staff scheduling.
- Ability to perform under deadlines, multi-task, and effectively communicate within a team atmosphere.
- Have a working knowledge of child development, behavior management, positive conflict resolution and social emotional learning.
- Basic computer knowledge including but not limited to Microsoft programs, Google, etc.
- Minimum age of 18 years or older.
- High School Diploma, required
- Ability to model YMCA core values of respect, responsibility, caring and honesty.
- Two years experience supervising others, preferred.
- Prior experience working in a licensed child care environment, preferred
- Minimum of 12 quarter credits in any 100 level course or above, preferred.
- Within 30 days of hire include completion of: Child Abuse Prevention for Supervisory Staff; Working with Program Volunteers; CPR; First Aid; AED; Bloodborne Pathogens; TB test; MERIT background check, provide MMR vaccine records, Food Handler Permit.
- Ability to relate effectively to diverse groups of people from all social and economic segments of the community.
- 30 Hour STARS Basic Training required; within 90 days of hire.

- Sufficient strength, agility, and mobility to perform essential functions of position and to safely supervise children’s activities including but not limited to swimming, rockwall climbing, van driving, etc. Must be able to sit, stand, walk for multiple hours. Must be able to lift 20-50-100 pounds (i.e. food delivery packages, supply shipments, etc.).
- While performing the duties of this job, the employee is regularly required to use a computer for extended periods of time and be able to communicate using a computer and phone/smart device.
- The employee frequently is required to sit and reach, and must be able to move around the work environment.
- The employee must occasionally lift and/or move up to 10 pounds.
- Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.
- The noise level in the work environment is usually moderate.
Salary : $20 - $22
