Position Summary
We are looking for a friendly, experienced Operations Coordinator to join our team. This position is responsible for coordinating a uniquely WhistlePig and “Vermont” guest experience to support our premium brand. You will be responsible for communicating and serving as the liaison with the WhistlePig sales team and leadership to maximize guest flow through the guest house(s) and help coordinate, organize and execute farm events/activities, as well as supporting the Hospitality Team with administrative and operational tasks in the day-to-day servicing of our guests.
Primary Duties
Assist with creating WhistlePig brand ambassadors and promoting barrel sales through high quality, experiential brand immersion.
Responsible for communicating with the WhistlePig sales and marketing departments, as well as leadership & the guests to coordinate their experience via email and phone correspondence in accordance with the pre-determined timeline of communication.
Assist the Director of Hospitality in growing the FarmStay program in scope, delivery, new offerings, staffing overflow, and brand vision.
Stay closely connected with local activities & events that might be attractive to offer our guests while visiting VT.
Manage the weekly scheduling for FarmStay Hosts/Chef/Housekeeping.
Maintain FarmStay Live Booking System & Internal FarmStay Calendars.
Plan FarmStay Itineraries, including onsite barrel selections, activities & excursions, both on and offsite.
Build relationships with offsite lodging vendors for when we must host guests offsite, and manage those reservations as needed.
Determine best flow/use of onsite lodging, including room assignments, with guidance from group contact.
Ensure all travel details, welcome letters/guest itineraries/questionnaires/waivers are sent to guests according to timeline.
Coordinate all post-stay guest gifting and follow up communication.
Other duties as assigned.
Requirements

Ability to prioritize tasks and manage multiple schedules simultaneously.
Superior time management skills, efficient and creative at scheduling appointments and meetings within limited time frames.
Excellent attention to detail, ensuring all details (dates, times, locations, participants) are accurate.
Strong multitasking skills and the ability to stay calm under pressure.
Professional appearance and attitude.
Ability to effectively communicate with both excellent written and verbal skills and proven experience in customer service.
High energy, proactive, and highly organized with an ability to manage and complete multiple tasks on time.
Excellent & creative problem-solving skills.
Highly proficient in Microsoft Office (Word, Excel, Publisher and PowerPoint).
Ability to stand or walk for extended periods during events.
Ability to potentially work evenings, weekends, or on holidays depending on the event schedule.
Must live within commutable driving distance of Shoreham, VT
Must possess a valid driver's license.
Education
High school diploma or equivalent

The hourly wage of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, and training. The above hiring range represents the Company's good faith and reasonable estimate of the range of possible compensation at the time of posting.
