Job Description
The Assistant administrator will play a vital role in the daily operations of our firm. This position requires someone with excellent organizational, communication, and multitasking skills. You will provide essential support to our attorneys and provide oversight as it pertains to maintaining real time metrics and business strategies. Candidates versed in digital marketing and social media strategy will be given a preference
Key Responsibilities :
- Client Intake :
- Conduct and assist with managing initial intake with prospective clients, gathering essential case information.
- Screen potential clients and manage systems to determine the firm’s ability to assist them.
- Accurately managege and record potential client inquiries into our CRM system.
- Schedule consultations and follow-up with leads as necessary.
- Administrative
- Assist attorneys with legal research, drafting correspondence and other legal documents
- Maintain digital database of documents
- Assist with scheduling meetings, hearings, and court appearances.
- Client Communication :
- Serve as a point of contact for clients, ensuring they are kept informed about their case status and manage systems to accomplish the same
- Answer phones, respond to client emails, and handle general inquiries.
- Document Management :
- Develop and manage systems to draft , proofread, and format legal documents.
- Maintain case files and ensure proper documentation of client information. Qualifications :
- Education :
- High School Diploma or GED required; Associate’s or Bachelor’s Degree preferred but not required.
- Candidates with “real world” experience will be given equal weight
- Experience :
- 2-10 years of experience as legal administrator and or business administrator
- Experience with CRM, client intake and or customer service is highly desirable.
- Ability to manage strategy and business solutions will be given preference
- Skills :
- Strong attention to detail and organizational skills.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with discretion and professionalism.
- Proficient in Apple, IOS, Artificial Intelligence, Microsoft Office Suite (Word, Excel, Outlook) and experience with software applications Clio and Salesforce is a plus.
- Working knowledge of Client Resource Management Systems (CRM)
- Personality :
- Positive attitude and a proactive approach to problem-solving.
- Ability to work both independently and as part of a team.
- Flexibilty to travel as needed
Benefits :
45-75k per yr pls bonus
