The White Lens Foundation is a charitable organization promoting global digital child safety. The charity is dedicated to creating a safe digital environment where every child can learn, play and grow free from the dangers of sexual abuse.
Position Summary
The Executive Assistant will provide administrative and logistical support to the Board of Directors and support our customer relationship management in fundraising topics. In addition, the executive assistant prepares and supports the preparation of marketing and information materials. This position is integral in managing calendars, coordinating communications, and supporting critical internal processes. The ideal candidate will thrive in a detail-oriented environment and be motivated to help advance our mission.
Executive Assistant Responsibilities:
- Board of Directors Support: Provide administrative support to the board of directors of the organization including managing the meetings (scheduling, taking notes, managing travel logistics, and updating and maintaining the board documents.
- Document Management: Organize and maintain document libraries of executive materials, including presentations, speeches, and correspondence.
- Information Conduit: Review and synthesize relevant information for members of Team to ensure they stay informed about various needs and expectations across the organization. Assist with various special projects as needed, including data analysis, research, and drafting communications on behalf of the Board.
- Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
- Calendar Management: Provide real-time scheduling support by booking appointments and preventing conflicts.
- Manage basic financial operations and reporting.
- Create engaging content for our media outlets and marketing materials and assist in developing and executing a media and communications strategy.
- Develop and maintain our donor database. Support the Team in fundraising activities and projects by assisting in maintaining and nurturing relationships with existing partners, research, help identify, and engage potential new donors to promote our mission.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Anticipate the needs of others in order to ensure their seamless and positive experience.
Executive Assistant Requirements:
- Associate’s Degree in a related field.
- 3 years of administrative experience preferred.
- Strong interpersonal and relationship-building skills.
- Ability to use data, metrics, and storytelling to communicate the organization's value and purpose.
- Meticulous attention to detail, strong organizational skills, and the ability to manage multiple projects.
- Desire to be proactive and create a positive experience for others.
- Strong IT skills (MS Office, Teams); experience with digital media tools (WordPress, Mailchimp, Google Ads, Google Analytics, CRM) and graphic design (Adobe Suite) is an asset.
- Experience with NGOs is a plus.
