Position Summary
The Receiving Coordinator manages all incoming and outgoing orders to ensure products are delivered, received, and distributed throughout the health system in the most efficient manner. Responsible for maintaining accurate records of shipping and receiving related transactions. Works closely with Storeroom Supervisor and Purchasing Department to report any discrepancies.
- Schedules and monitors deliveries.
- Accurately inputs a high volume of information into the MMIS database concerning incoming and outgoing shipments in a timely manner.
- Verifies delivery contents to ensure accuracy of purchase order.
- Records and reports shortages and discrepancies.
- Communicates efficiently and concisely over the phone, in person and through e-mail to coordinate returns, rejections and credits.
- Ensures friendly, efficient and professional customer service.
- Provides training to all new personnel in the Receiving area.
- Maintains Receiving area in a neat, clean and orderly condition.
- Maintains equipment and secures the department at the end of each business day.
- Performs all other duties as assigned.
Education & Experience Requirements
- High School Graduate or GED required. Additional vocational or related experience preferred.
- Computer-literate with knowledge of Receiving MMIS databases.
- Must understand and be able to work well on basic computer programs such as MSOffice.
- Must be detail-oriented and possess the organizational skills necessary to plan, direct, and control critically important projects.
- Must be able to read, write and spell accurately in English. As well as perform basic arithmetic accurately.
- Knowledge of The Joint Commission (TJC), Occupation Health and Safety Association (OSHA) and Department of Health guidelines and regulations are extremely important.
- Interpersonal skills are necessary to interact with all levels of personnel and other external parties, frequently in situations which are sensitive and/or significant to the organization.

Physical/Mental Demands/Requirements & Work Environment
- May be exposed to chemicals necessary to perform required tasks. Any hazardous chemicals the employee may be exposed to are listed in the hospital’s SDS (Safety Data Sheet) database and may be accessed through the hospital’s Intranet site (Employee Tools/SDS Access). A copy of the SDS database can also be found at the hospital switchboard, saved on a disc.
- Must be able to lift objects weighing 50lbs and be able to move cartons and equipment within safety guidelines. The job requires an individual able to push and pull carts loaded with supplies and capable of sustained physical effort.
- Individual will be working indoors the majority of the day. Occasional outdoor exposure may occur when loading or unloading vehicles. The indoor environment is climate controlled.
- Ability to concentrate for extended periods of time and with distractions.
- Ability to read and follow written and verbal instructions.
- Ability to follow through on assignments without supervision.
