We are seeking an experienced Veterinary Receptionist to join our team. The ideal candidate will have a passion for animals and a strong customer service background. This position requires excellent communication skills, the ability to multi-task, and the ability to provide accurate information to clients in a timely manner. The successful candidate will be responsible for greeting clients, scheduling appointments, answering phones, and managing patient records.
Education and Personnel Requirements
- Minimum of 18 Years Old
- High School Diploma
- Working as a Team
- Well-Spoken
- Excellent Client Communication Skills
- Typing Skills
- Computer Knowledge including Microsoft Suite (mainly Word and Excel), E-mail, and Texting
- Ability to stay calm and efficient during a medical crisis
- Ability to handle a fast-paced work environment
Experience Requirements
- 1 Year Veterinary Receptionist Experience
- Significant Experience with basic office functions in a busy environment
- Pay is based off Experience.
Work Schedule
- 10 hour per day work schedule: Monday-Thursday
- 6 Hour Fridays (Our Office closes at 1pm on Fridays)
Performance Expectations
- Scheduling wellness and sick visit appointments.
- Answering phones.
- Taking detailed messages; ability to prioritize the urgency of phone calls.
- Education clients about their pet's health, flea, tick, and heartworm prevention, and of proper vaccination guidelines.
- Greet clients in a happy and professional manner with natural effort.
- Accurately inputting client information and pet records into our practice software.
- Properly restrain animals and get weights on animals.
- Accurately prepare and dispense medications as directed by the doctor.
- Ability to type medical terminology.
- Maintain mail and office supply inventory.
- Able to multi-task and handle stressful situations.
- Maintain clean and tidy front office area and assist with maintaining patient rooms.
- Physical activities include bending, standing, stooping, kneeling, moving from room to room, and sitting; may be required to walk or stand for long periods of time; will use hands to manipulate, handle, or feel; will reach with hands and arms.
- May be exposed to unpleasant odors, noises, and animal feces. May be exposed to bites, scratches, and contagious diseases.
Veterinary Knowledge/ Client Education
- Can answer clients’ inquiries about basic animal care questions and routine procedures.
- Can educate clients on over- the-counter products such as shampoos and nutraceuticals, and full knowledge of heartworm and external parasite preventatives to promote client education and sales.
- Can guide client to make appropriate decisions regarding optimum pet care.
Admitting /Discharging Patients / Cash Handling
- Can admit patients and handle medical record entries accurately.
- Can prepare health certificates, immunization certificates, laboratory requests, and euthanasia certificates.
- Handle client/patient transfers with ease.
- Prepare client invoicing for services performed.
- Accurately handle payment transactions.
- Accurately and empathetically communicates estimates/treatment plans to clients.
Hospitality
- Greeting each client and patient who enters the hospital.
- Can bond with clients during interactions: Remembering clients, patient names, and able to turn phone inquiries into clients.
- Keep a positive attitude and maintain a positive front office area in the event of wait times.
- Offer clients beverages and attend to needs of clients coming in.
Computer Knowledge / Telephone Skills
- Answering multi-line phone system quickly, professionally, and with a pleasant attitude.
- Basic computer skills with working knowledge of Microsoft Office and Excel. We will train you on our client software system (Neo).
- Attention to detail when taking client and patient information.
- Promptly check and answer e-mails, voicemail, and our customer texting system.
- Entering and updating client and patient information into our software system.
