About the Role:We are seeking a proactive and detail-oriented Operations Assistant to support our property management team in handling daily operations for vacation rental properties. This role includes a mix of office work and fieldwork, requiring strong communication, problem-solving, and organizational skills. The ideal candidate will be responsible for liaising with homeowners, coordinating with contractors, conducting inspections, resolving guest issues, and ensuring properties meet quality standards.
Key Responsibilities:
- Homeowner Liaison: Serve as the main point of contact for property owners, providing updates on bookings, property conditions, and maintenance needs.
- Onboarding Properties: Assist in onboarding new vacation rental homes, ensuring all paperwork, photos, and listings are correctly completed.
- Contractor Coordination: Schedule and oversee vendors/contractors for cleaning, maintenance, repairs, and emergency services.
- Property Inspections: Perform routine property inspections to ensure quality control, cleanliness, and compliance with safety standards.
- Inspection Reports: Compile and send detailed reports to homeowners, highlighting property conditions and necessary actions.
- Damage Claims: Process guest damage claims, working with homeowners, guests, and insurance providers to resolve issues efficiently.
- Guest Issue Resolution: Assist in handling guest complaints, troubleshooting issues, and ensuring prompt responses to concerns.
- Customer Service: Provide support to guests and homeowners via phone, email, and in-person visits, ensuring a smooth rental experience.
- Health & Safety Compliance: Monitor properties for compliance with safety regulations and coordinate necessary improvements.
- Field Support: Visit properties as needed to oversee maintenance work, verify property conditions, and assist with urgent matters.
- General Office Support: Assist with documentation, data entry, scheduling, and other administrative tasks.
Qualifications & Requirements:
- Experience in property management, hospitality, or real estate operations preferred.
- Strong problem-solving skills and ability to handle guest issues professionally.
- Ability to coordinate and manage contractors/vendors efficiently.
- Excellent organizational and multitasking skills to handle various tasks simultaneously.
- Tech-savvy – experience with property management software, spreadsheets, and email communication.
- Knowledge of health and safety standards for rental properties is a plus.
- Valid driver’s license & reliable transportation required for field visits.
- Flexible schedule, including some weekends and after-hours availability as needed.
