Position Summary:
Our Melbourne office is seeking an Administrative/Legal Assistant to support two attorneys practicing in the areas of estate planning, estate administration, guardianship, and trust and estate litigation.
Duties and Responsibilities:
- Answer phones and greet clients
- Schedule and confirm appointments
- Client intake
- Prepare and revise documents and correspondence
- Serve as witness or notary for document signings
- Manage files, including electronic filing, scanning, photocopying, and mailing
- Create and maintain physical and electronic case files
- Assist attorneys and paralegals with other tasks as needed
Qualifications:
- High School Diploma or Equivalent
- US work authorization
- Two or more years of administrative and/or client-relations experience
- Proficient in Microsoft Office, including Excel, Outlook & Word
- Must be tech-savvy and have the ability to manage existing client database
- Superior oral and written communication skills within a professional setting
- Must be organized and able to function effectively in an extremely busy, fast-paced, team-oriented environment
- Ability to work independently with little supervision and be a problem-solver
- Strong attention to detail with an eye for accuracy
- Ability to multi-task, manage, and prioritize work daily
- Ability to learn and follow new procedures
- Excellent client care and focus
- Ability to assess clients’ needs and provide the correct answer, path, troubleshooting, or method for a positive client experience
