We are seeking a highly organized and detail-oriented Office Assistant to join our team. This individual will play a critical role in supporting administrative functions, ensuring smooth daily operations, and assisting caregivers, clients, and staff members.
Job Responsibilities
Administrative Support:
- Manage front desk operations, including answering phones, greeting visitors, and responding to inquiries.
- Maintain organized client and employee records, ensuring compliance with state regulations and company policies.
- Prepare and distribute company correspondence, emails, reports, and other documents.
- Assist with data entry, filing, and document management.
- Handle scheduling, appointment setting, and calendar management for staff and caregivers.
Caregiver & Client Support:
- Assist with onboarding new caregivers, including processing applications, verifying credentials, and ensuring required documentation is complete.
- Maintain up-to-date caregiver files, certifications, and training records.
- Communicate with caregivers and clients to provide assistance with scheduling, policy clarification, and general support.
- Help coordinate care schedules to ensure client needs are met efficiently.
Billing & Payroll Assistance:
- Assist with timesheet collection and verification for payroll processing.
- Support billing and invoicing processes, ensuring accurate and timely submissions.
- Help manage client payments and maintain financial records as required.
Compliance & Reporting:
- Ensure compliance with all local, state, and federal regulations related to non-medical home care services.
- Prepare reports and documentation for audits, inspections, and internal reviews.
- Maintain confidentiality and security of client and employee records.
General Office Management:
- Order and maintain office supplies, equipment, and forms.
- Ensure office cleanliness and organization.
- Assist with special projects and administrative tasks as assigned by management.
Qualifications & RequirementsEducation & Experience:
- High school diploma or equivalent (Associate’s degree preferred).
- Previous experience in an office administrative role, preferably in healthcare, home care, or a related field.
- Familiarity with non-medical home care operations and regulations is a plus.
Skills & Competencies:
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Excellent written and verbal communication skills.
- Ability to handle confidential information with discretion.
- Customer service-oriented mindset with a professional demeanor.
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Problem-solving skills and ability to work independently with minimal supervision.
