Whole Child Therapy seeks an Office Assistant/Receptionist who is balanced, professional, dedicated, and an effective communicator. We are looking for someone who loves working directly with people and has the ability to make people feel special. ORGANIZATION:
Whole Child Therapy (WCT) is a multidisciplinary pediatric therapy center servicing all of Utah Valley. WCT specializes in Autism and provides OT, Speech, ABA, and mental health therapy. We are dedicated to providing the highest quality home and clinic care for the children we serve as well as superior levels of customer service for their families. Skills Required:
- Ability to take initiative, problem solve, and make decisions within job scope.
- Understanding and experience of fast-moving workplace environment with ability to track tasks on a daily, sometimes hourly basis
- Superior written and oral communication skills
- Strong track record of customer service and effective people skills
- Understanding of processes, policies, and procedures required to support the company

- Excellent knowledge of Microsoft Office (particularly Word and Excel) and EMR software

Education/Experience:
- 1 year experience with excel and word documents
- 2 years experience in customer service
- 1 year of scheduling experience
- A minimum of 2 years' experience in an office setting
- Bilingual is a preferred but not required
Duties & Responsibilities:
Reception
- Greeting clients and staff
- Answering phones
- Supporting our therapists
- General office organization
- Maintain confidentiality according to HIPAA
Scheduling - Working closely with Scheduling Specialist
- Handling daily cancellations
- Sending appointment reminder texts
Onboarding - Working closely with Onboarding Specialist
- Sending intake packets to potential new clients
- Gathering paperwork from new clients
- Help our families start services
- Helping with new employee orientation
