Job Title: Choice Enrollment and Programs Specialist
Position Function: The Choice Enrollment and Programs Specialist is responsible for coordinating and managing specialized enrollment processes, including in-district special assignments, out-of-district enrollment, and the alignment of special programs such as AVID, ECA, and IB. This position serves as a centralized hub for managing manual transfers and assignments while providing exceptional customer service to both internal stakeholders (principals, office staff) and external stakeholders (parents, families). The specialist collaborates closely with various departments and manages SharePoint and website content to ensure efficient and accurate placements, documentation, and communication. Additionally, this position assists with aspects of the school enrollment process, including participation in promotional events and lottery processes.
Essential Performance Responsibilities:
- Customer Service:
- Provide excellent customer service to principals, office staff, parents, and guardians.
- Maintain clear communication channels for inquiries and issues related to enrollment and assignments.
- Coordinate customer service protocols across departments to ensure consistency in messaging and approach.
- Provide training and guidance to school-based staff on enrollment procedures.
- Collaboration with Multiple Departments:
- Coordinate with elementary/secondary offices, Student Records & Enrollment Services, Student Support Services, CTE departments, and Marketing & Communications.
- Participate in meetings and contribute to cross-departmental planning and process improvement efforts.
- Ensure consistent and accurate communication between departments and stakeholders.
- Enrollment Coordination & Transfers:
- Manage and process requests for in-district special assignments and out-of-district enrollment.
- Serve as the primary contact for parents and guardians seeking enrollment guidance.
- Act as the central point of contact for processing manual transfers and special assignments.
- Ensure timely and accurate data entry and record-keeping.
- Support the development and distribution of advertising materials promoting enrollment and application timelines.
- Coordinate with the Marketing and Communications Department to develop promotional materials.
- Provide guidance to parents/guardians on the application, selection, and assignment process for all programs.
- Alignment of Special Programs (CTE, AVID, ECA, IB):
- Work with program leaders to facilitate proper enrollment and assignment processes.
- Ensure alignment of program availability and district policies.
- Support the integration of special programs within district enrollment systems.
- Organization and Documentation:
- Maintain accurate and organized documentation related to special assignments and transfers.
- Utilize district software (e.g., Synergy) to process and track enrollments.
- Maintain an up-to-date intranet portal (SharePoint) and external web pages for public access.
- Create and maintain systems for consistent data reporting and analysis.
- Data Management:
- Maintain accurate enrollment data and prepare reports as needed for district and state reporting.
- Coordinate with Student Records and Enrollment to ensure accurate record-keeping in district systems.
- Utilize data analysis tools where applicable to ensure reporting accuracy.
Additional Duties: Performs other duties as assigned or requested by immediate supervisor, Superintendent and Board members to accomplish the mission of the district.
Equipment: This position may require the ability to use SMART boards and iPads in addition to basic office equipment such as computers, copiers, scanners, and fax machine. Must always comply with USD 259’s guidelines for equipment use.
Travel: Limited travel between schools and central offices may be required.

Employee Punctuality and Appearance:
- In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave.
- Any deviation from assigned hours must have prior approval from the employee’s supervisor or building administrator.
- All employees are required to report to work dressed in a manner that reflects a positive image of USD 259 and is appropriate for their position.
Qualification Profile:
- High School Diploma required.
- Bachelor’s degree preferred.
- Five or more years of experience in student enrollment, program coordination, or related roles.
- Familiarity with district enrollment systems such as Synergy is preferred.
- Strong organizational and documentation skills.
- Excellent verbal and written communication skills.
- Ability to work effectively with diverse stakeholders.
- Demonstrated ability to provide high-quality customer service.
