The primary focus of the Operations Admin role is to assist in tracking the status of all Editorial projects at all times and is comfortable reporting it out on the fly with a high standard for data integrity. This person works cross-functionally communicating with stakeholders regarding project timelines. The Operations Admin will work and collaborate closely with operations, finance, talent operations and producer departments. The ideal candidate is a team player and self-starter that desires to work at a company that values a creative team atmosphere within an operational focus. They are self-motivated, proactive, quick-thinking, flexible, thorough and able to juggle many tasks and responsibilities at once with a strong emphasis on organization and an unwavering attention to detail at all times. This is a very demanding position that requires someone who is an effective communicator, positive thinker and is able to show good judgment and initiative. This role is hybrid and will be required to be onsite in Culver City 3-4 days a week.

Job Responsibilities
- Updates & maintains tracking of project timeline throughout the day
- Helps manage daily office assignments for employees working onsite
- Chases down internal stakeholders to ensure all timelines are accurate and bubbles up any issue to COO & Producers
- Ensures all project information is documented, organized and reportable within internal tracking system(s)
- Confirms handoff from Producer to AE team for all final preps to client, tracks handoff
- Knows minute by minute status of all projects
- Assisting producers with determining production and finishing project timelines, when requested
- Assists COO & Sr Director, Operations with tracking assigned projects based on internal availability, workload and priority
- Maintain high security standards, in partnership with engineering, while working in a high volume, fast paced environment
- Working closely with Sr Manager, Operations for award spot documentation and submission
- Tracks 'Sent Spots' alongside Finance team
- Works closely with finance team on timesheet project tracking for editor timesheets
- Exceptional organizational skills
- Exceptional written and verbal communication skills
- Assertive and tactful with dealing with difficult and diverse personalities
- Constantly searching for optimization of processes and workflows with a data driven approach
- Must be team oriented
- Must be able to quickly pick up on workflows and procedures
- Must be able to work quickly and efficiently in a high energy environment
- Ability and willingness to work overtime with little or no notice
- Meticulous, collaborative, patient, level headed, able to work well under pressure and maintain a positive attitude
