Job Description: Property Manager
Position Overview: The Property Manager is responsible for overseeing and managing rental properties, ensuring proper tenant relations, and maintaining the overall condition of properties. The role involves working closely with property owners, tenants, and agents to ensure efficient property management services and a high level of customer satisfaction.
Key Responsibilities:
- Meet with property owners to sign Management Agreements, obtain necessary information (e.g., tax ID), and clarify responsibilities such as mortgage, insurance, taxes, termite bonds, HOA dues, and other owner-related activities.
- Review property owners' insurance coverage to ensure adequate liability, renter, and homeowner insurance is in place.
- Conduct property inspections and ensure properties are ready for occupancy, including maintenance tasks such as lawn care, cleaning, and repairs.
- Create property listings and ensure owner approval for the "For Rent" signage, including any lead-based paint disclosures.
- Maintain a secure key control system with a minimum of three working sets of keys.
- Ensure properties are listed on MLS and uploaded to Wilder Property Managements website and related platforms.
- Market properties by showing them to prospective tenants and working with agents who may have potential tenants.
- Qualify tenants through background, credit, and reference checks.
- Facilitate lease agreements between the management company and tenants.
- Collect application fees, security deposits, and rents.
- Remind tenants to set up utilities in their name and assist with utility-related questions.
- Oversee property inventory and update management records.
- Send periodic mailings, including late payment calculation sheets and notices regarding non-payment and potential eviction.
- Initiate late fee assessments and eviction proceedings when necessary, following legal requirements.
- Identify lease expiration dates and notify tenants and owners of lease renewals.
- Perform periodic property inspections (at lease signing, post-move-in, mid-lease, and end-of-lease), ensuring 24-48 hour notice is given for routine inspections.
- Maintain a centralized filing system, striving to become paperless.
- Send updates on available properties to offices as vacancies are updated.
- Ensure compliance with legal requirements and industry standards through regular training and updates.
- Work with accounting to provide annual 1099 statements to property owners, agents, and contractors.
- Stay current on property rental rates by type, condition, and market trends.
- Participate in meetings and reporting to share best practices and updates.
Tenant Management Responsibilities:
- Respond to tenant requests for property maintenance and repair services.
- Address and resolve tenant-owner issues, including disputes over damages and security deposits. Escalate unresolved matters to the Director of Property Management if necessary.
- Maintain effective communication with tenants, ensuring they understand their responsibilities regarding property upkeep and rent payments.
Working with Agents:
- Collaborate with agents to generate referrals, maintaining communication regarding the status of tenants and properties.
- Keep agents informed about upcoming lease renewals and sales opportunities, and mark files with the referring agent’s name.
- Ensure proper explanation and payment of referral fees to agents for any generated management fee income due to their referral.
Additional Responsibilities:
- Assist with various ad-hoc tasks as assigned by supervisors or the property management team.
- Remain proactive in identifying and addressing opportunities for improvement in property management processes and client satisfaction.
Qualifications:
- Strong organizational and communication skills.
- Ability to handle multiple tasks efficiently and meet deadlines.
- Knowledge of property management laws, regulations, and best practices.
- Experience with property inspections, lease agreements, and tenant management.
- Familiarity with real estate software and MLS listings.
- Ability to resolve conflicts and ensure positive tenant-owner relationships.
- Previous experience in property management or real estate is preferred.
