Wildflower Studios is New York's premier TV and Film production facility designed to meet the evolving needs of modern storytelling. Located in Queens, just minutes away from Manhattan, our self-contained creative campus features state-of-the-art studio suites, expansive stages, and dedicated support spaces for seamless end-to-end production.
We are seeking a Receptionist/Coordinator to support our team and studio operations for film and TV productions. This person should be a self-starter who is capable of multi-tasking and prioritizing responsibilities. Candidates should be pro-active, possess clear communication skills, and be a team player with a client-services first approach.
Key Responsibilities:
- Coordinate and schedule internal and external meetings across the team, ensuring everyone is on the same page and meetings run smoothly
- Manage the studio calendar, answer the main phone line, and research operational support and vendors
- Assist with ad-hoc projects, including events and travel arrangements
- Welcome guests and clients with warmth and professionalism, serving as the first point of contact for the studio
- Coordinate mail and shipping through USPS and FedEx, ensuring timely delivery of important correspondence and packages
- Management of incoming mail and packages, through studio package room
- Provide client-facing support and coordinate production requests with the appropriate team members, ensuring client needs are met with efficiency and excellence
- Liaise with parking and security to ensure seamless arrivals for scheduled guests and clients, making their experience at the studio memorable from the moment they arrive
- Provide general administrative support
Qualifications:
- Production Experience: Film, television, and/or commercial production industry knowledge preferred
- Adaptability: Ability to thrive in a fast-paced studio environment, multitasking and adjusting priorities as needed to meet deadlines and deliver exceptional results
- Communication Skills: Clear, concise, and solution-based communication skills, with the ability to convey information effectively
- Organizational Skills: Strong organizational, problem-solving, and time-management skills, with a keen eye for detail and accuracy
- Confidentiality: Ability to handle confidential information with discretion and professionalism
- Customer-Service Oriented: Customer-service oriented with a positive and professional demeanor, dedicated to providing an exceptional experience for clients and guests
- Technical Proficiency: Proficiency in Microsoft programs, Outlook, Excel, and MS Word, with the ability to learn new systems quickly
- Physical Requirements: Ability to lift 40lbs as needed for mail and shipping tasks
