Position Overview
The Events Coordinator is responsible for the planning, coordinating, and execution of events and rentals. The Events Coordinator assists the Marketing and Development Coordinators through public relations, graphic design, and event coordination to support the growth and expansion of Wildlife Safari. The Events Coordinator is a representative of Wildlife Safari and as such, should present strong skills in professionalism, organization, and communication.
Responsibilities
- Orchestrate the planning and coordination of events and rentals. Events include, but not limited to; Benefit Dinner, Wildlights, Zoobilee, DreamNight, Day of Discovery, and more. Rentals can include company parties, birthday parties, and weddings.
- Communicates and coordinates with other departments and agencies to set dates, book rooms, present animals, add community booths, and follow-up with staff for their duties during the event or rental.
- Develops event concepts and themes. Execute the theme through messaging and décor.
- Managing event budgets and ensuring costs are within allocated limits.
- Gathers feedback from attendees, vendors, and staff for more ideas and efficiency for future events and rentals.
- Set-up and troubleshoot sound and video equipment.
- Structure work week to cover the set-up, execution, and tear down of events and rentals. Events and rentals are often during the eventing and on weekends.
- Have an ongoing relationship with community agencies, sponsors, and volunteers.
- Help other operational departments during high traffic times such as Spring Break, Memorial Weekend, and Labor Day Weekend. Duties may include cashiering and selling concessions.
- Represent Wildlife Safari at events as needed.
- Assist with VIP tours and meetings.
- Other duties as assigned.
\Qualifications
- Must possess ability to juggle multiple responsibilities.
- Must have leadership and organizational skills. Ability to work independently, prioritizing, organizing multiple projects, and meet strict deadlines.
- Outstanding customer service skills
- Must be able to pass a drug test, including for marijuana
- Candidates must agree to a background check
- Must have a current driver’s license for minimum of three years with clean driving record.
- Must be physically able to set-up tables, chairs, and sound equipment
- Preferred experience in public relations and/or event planning
- Exhibit strong experience in balancing organizational, technological, and people skills. Weekend and evening work is occasionally required.
- Proficiency in all Microsoft Office applications required
- Proficiency in web design and graphic design preferred.
- Solid understanding of technology and Internet; comfortable with wide variety of social media activities.
- Excellent interpersonal skills; function well in a collaborative environment.
