Position Summary: The Office Administrator is responsible for overseeing the administrative functions of the plant and supervising the Administrative Clerk.
Key Roles / Responsibilities:
- Enrolls new hires and ensures enrollment forms are properly completed and forwarded to the Corporate Human Resources Department in a timely manner. Assists employees with benefits issues and/or contacts the Corporate Human Resources Department to ensure issues are resolved.
- Ensures annual Factory Administration department budget is prepared in accordance with company guidelines. Monitors budget, adjusts and advises of variances, as appropriate.
- Ensures the appropriate MSHA records are maintained on site, including training and accident files. Provides these records to MSHA auditors as required. Maintains files and records of building equipment as appropriate. Completes First Report of Injury and MSHA report (if necessary) on plant accidents. Maintains Accident Report Log for facility. Reports to the Corporate Human Resources Department and Managed Comp all plant injuries and provides updates when needed. On a need to basis, communicates with company doctor regarding issues with plant personnel.
- Assists plant manager, department heads and supervisors with reports, presentations and various clerical tasks. Assists visitors with reports as needed. Ensures visitor lunches and office accommodations are provided as required. Maintains staff and conference room calendars.
- Responsible for the phone system, security system, facility keys and office supplies of the facility.
- Ensures the phone system is properly maintained, and employees receive proper training. Adds new hires to appropriate extensions, maintains and makes changes to system greetings in accordance with facility needs. Maintains security system codes and ensures appropriate employees are trained on the operation of the system. Maintains copies of all facility keys as well as files indicating which employees have specific keys in their possession. Ensures new hires are provided with appropriate keys and that keys are returned to the company as required. Ensures the appropriate amount and type of office supplies are consistently available for employees.
- Performs other related tasks when necessary or as required.
Required Education, Experience, and Qualifications:
- 5 plus years administrative or office management experience in a production/manufacturing environment.
- Supervisor experience
- Computer experience, including accounting, all Microsoft Office Software, strong verbal and written communication skills.
- Knowledge or experience with SAP computer software is a plus.
- Technical College or an undergraduate degree is preferred.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Positions self to install equipment, including under desks.
- Moves throughout the building to access files.
- Must be able to comprehend and follow written and oral instructions.
- Must be able to complete tasks even with frequent interruptions.
- Must be able to use discretion and independent judgment as needed.
- Must be able to speak clearly on the phone and to fellow workers.
