Position Summary: The Service Writer is responsible for assisting the service manager in maintaining accurate and on-time reports and records relative to the service department's operation within the company.
Key Roles / Responsibilities:
- Receive customer phone calls or email requests for service.
- Prepare service quotes and confirm customer approvals.
- Opens work orders in Navision and verify the accuracy of the customer data.
- Estimate costs of repairs within set guidelines.
- Monitor and manage accounts receivables.
- Communicate effectively with customers on items including troubleshooting, work progress, and general questions.
- Discuss and track with technician’s progress on open work orders.
- Reviews WIP (work in process) report to ensure timely completion of all service request orders.
- Sends a parts request form to the parts department in support of all service work.
- Monitor service scheduling to ensure a high level of technician utilization.
- Monitor technician training and certifications.
- Maintain Document Control processes (procedures, forms, records, etc.).
- Maintain asset list of units as they arrive.
- Ensure testing records are stored in the system prior to units leaving.
- Other job planning and job scheduling functions as assigned.
Required Education, Experience, and Qualifications:
- High School Diploma/GED, Associate’s or higher degree.
- Heavy equipment technical knowledge preferred.
- 2 to 3 years of heavy equipment or service writer experience preferred.
- Exceptional communication skills, both oral and written.
- Ability to establish and maintain positive working relationships with co-workers and customers.
- Ability to professionally manage difficult customer situations.
- Proficient in the English language.
Working Conditions:
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift 15 pounds at times.
- Positions self to install equipment, including under desks.
- Moves throughout the building to access files.
- Must be able to comprehend and follow written and oral instructions.
- Must be able to complete tasks even with frequent interruptions.
- Must be able to use discretion and independent judgment as needed.
- Must be able to speak clearly on the phone and to fellow workers.
