Willamette Art Center seeks a part-time bookkeeper to join our small community art center staff. The ideal candidate is efficient, detail-oriented, skilled in identifying and correcting errors, enjoys problem-solving, and is very knowledgeable about QuickBooks Online.
About Our Workplace: The Willamette Art Center is currently tucked amidst the oaks of the Oregon State Fairgrounds and will be moving soon to a new, yet-to-be identified, location. It is Salem’s only community art center for hands-on activities and ceramics. The Willamette Art Center’s programming, services and activities revolve around three main areas: art education and promotion, art opportunity and community betterment through art. These services and activities are accomplished by offering exciting classes, workshops, studio workspace, Family Clay Sundays, and the Empty Bowls sale to benefit Marion Polk Food Share.
Duties
Data Assessment: Thoroughly analyze existing QuickBooks data to identify errors, inconsistencies, and areas needing correction, including incorrect account coding, duplicate entries, and missing transactions. Ensure financial systems and procedures comply with Generally Accepted Accounting procedures and all applicable local, state, and federal regulations and laws.
Process accounts payable: Process and pay all bills, invoices, instructor fees, and lease payments as approved by the Executive Director following WAC’s policies.
Process payroll: Work with payroll processing firm to ensure that withholdings are correct and payments are timely.
Transaction Categorization: Review and properly categorize all transactions within QuickBooks, ensuring accurate assignment to relevant income and expense accounts.
Reconciliation: Reconcile bank, credit card statements, Square, Qgiv (individual contribution tracking) and the organization's CRM data to QuickBooks, resolve discrepancies and make necessary adjustments. Reconcile petty cash account.
Chart of Accounts Review: Evaluate the current chart of accounts for accuracy and make necessary adjustments to reflect the organization’s business structure better.
Board support: Sit on the organization’s Budget Committee. Support the biennial audit process through paperwork preparation.
Miscellaneous: Work with Director and staff to prepare budgets for grant proposals and provide grant financial reports.
Data Cleaning: Delete unnecessary or duplicate entries, correct misclassified transactions, and resolve any data entry errors.
Reporting: Generate accurate financial reports, including profit and loss statements, balance sheets, and cash flow statements, after data cleanup. Assist accountant in 990 filing and respond to other accountant requests. Prepare and mail annual 1099 tax returns. Prepare and process necessary documents for processing local, state, and federal agency registrations.
Skills
- QuickBooks Proficiency: Extensive knowledge of QuickBooks features and functionalities, including account management, transaction recording, and reconciliation tools.
- Accounting Fundamentals: Solid understanding of basic accounting principles, such as debits and credits, double-entry bookkeeping, and financial statement analysis.
- Analytical Skills: Ability to identify patterns, discrepancies, and potential issues within financial data.
- Attention to Detail: Meticulous focus on accuracy and precision when reviewing and correcting financial information.
- Problem-Solving: Capability to troubleshoot bookkeeping issues and find practical solutions.

Education and certification
- High school diploma, with an associate degree in accounting or finance preferred
- QuickBooks User Certification preferred
Work Hours and Benefits
- Job is part-time at a maximum of 40 hours a month, subject to workload. As a small employer, we don’t offer paid time off to part-time employee. Employees are eligible for unpaid leave and other applicable state and federal leave.
