We are looking for an Administrative Assistant for our Wine Club, and previous reception experience, along with at least one year of customer service, is required for this position.

Position Overview:
Assist the Wine Club Manager and Wine Club Assistant Manager in order to increase Wine Club membership, and maintain a high retention rate through timely and professional customer service.
Primary Job Responsibilities/Essential Functions Sales
- Assist Wine Club Manager and Wine Club Assistant Manager to increase Wine Club membership and maintain a high retention rate through timely and professional customer service.
- Be the point of contact in the Wine Club Room on Friday, Saturday, and Sundays to help with Wine Club orders, customer service, and questions.
- Send new Wine Club Members their welcome letter.
- Helps process Wine Club shipments and troubleshoot and resolve problems.
- Assist in working Wine Club pick-up weekends, and process Wine Club membership signups.
- Assist in following up with customers whose credit cards were declined via email and phone.
- Performs monthly sales audit to ensure Wine Club sales are credited to the correct ambassador.
- Works together with Wine Club team to monitor Wine Club email and Special Preference document.
- Make sure Wine Club shipments are well stocked in Tasting Room
- Works to keep all Wine Club pick up shipments current and less than 6 months old by calling members with three or more pick-ups.
- Assist Wine Club Manager and Wine Club Assistant Manager with other duties as assigned.
- Supports Company’s effort to create a more sustainable, cross-cultural and “green” environment.
Requirements
- Must be able to lift 40 lbs.
- Must be available to work on weekends AND on-site winery events, as most events are held over holiday weekends, such as Memorial Day and Thanksgiving.
- Must have highly developed organizational and time management skills, with the ability to multi-task, work independently and as part of a team.
- Must be able to communicate through active listening skills and gather accurate insights to human behavior.
- Must be independently motivated to generate sales for Willamette Valley Vineyards.
- Must be team focused and be ready and willing to reasonably assist in other areas of the business as needed.
- Other duties not outlined may be required as needed.
Other Skills/Abilities
- Previous reception/ hospitality experience preferred.
- Ability to use standard Customer Relation Management, POS systems and Google Applications.
