Position Overview
We are looking for a proactive and detail-oriented Administrative Assistant/Collector to join our team. This role combines administrative
tasks with a strong focus on accounts payable, accounts receivable, and collections. The ideal candidate is highly organized, skilled in
QuickBooks, and unafraid to follow up with persistence when collecting overdue accounts.
Key Responsibilities
Responsibilities include, but are not limited to:
Accounts Payable:
- Process and record vendor invoices and payments in QuickBooks.
- Reconcile statements and ensure timely payment to vendors.
- Assist with tracking expenses and managing credit card transactions.
Accounts Receivable and Collections:
- Review and manage customer billing inquiries and updates.
- Proactively follow up on overdue accounts to ensure timely payments.
- Maintain accurate records of all communications and collections activities.
Administrative Support:
- Answer incoming calls and assist with customer inquiries.
- Handle various documentation, including scanning, filing, and updating systems.
- Manage benefits processing, billing platform updates, and Certificates of Insurance (COI).
General Office Duties:
- Oversee mail handling and deliveries (USPS, UPS, etc.).
- Create and manage email accounts for new employees.
- Assist with additional administrative tasks as needed to support the team.
Qualifications
- Proficiency in QuickBooks and Microsoft Office Suite (Word, Excel, Outlook, Teams, etc.) is required.
- Strong organizational and multitasking skills.
- Comfortable making calls to customers and vendors, including following up on overdue accounts with persistence and
professionalism.
- Excellent communication skills, both verbal and written.
- Experience in accounts payable/receivable and general office administration is preferred.
Saraly: $45,000.00 - $55,000.00 per year
Benefits:
- Health Insurance after 3 months.
- PTO 10 days per year after 3 months.

Work Schedule:
- Monday to Friday, 8.00 am – 5.00 pm.

Experience:
- Administrative: 1 – 3 years (Preferred)
