The Associate Vendor Management will be responsible for the maintenance of vendor data. Collaborate with internal teams to promote best practices in vendor management. Facilitate the review of vendor requests and assist team with contract management. Build knowledge of William Blair's vendors and suppliers. Develop vendor management and market data systems knowledge. Draft analyses on vendor cost and usage to be reviewed by analyst staff. Assist in projects that align with strategic initiatives.
Essential Responsibilities
- Responsible for the collection, cleansing, and validation of supplier data attributes for vendor management team, including related activities such as maintenance, setup, bank detail verification, 1099 eligibility determination, and W-9/W-8 form updates.
- Collaborate with internal teams to promote best practices in vendor management and achieve business results. Address basic vendor/supplier questions or issues.
- Facilitate the review of new vendor requests and assist team with managing contracts throughout their lifecycle. Ensure renewals are actioned in a timely manner.
- Work closely with cross functional teams on tax-related items for vendor onboarding and ongoing tax reporting.
- Build knowledge of William Blair vendors and suppliers, including data suppliers.
- Own relationship with a key market data supplier. Learn which products and services are utilized by each function and ensure accurate billing. Work with senior staff to ensure satisfactory delivery of products and services and adherence to contract terms.
- Develop market data and vendor/contract management systems knowledge. Provide basic hands on application support for vendor management systems and tools under the direction of senior analysts. Escalate problems or issues as appropriate.
- Draft analyses on vendor cost/usage and provide metrics on vendor request process.
- Improve analyses as new information becomes available and requests are made for various views of the data; create relevant and actionable reports.
- Assist in projects that align with strategic initiatives, including vendor management process and workflow improvements.
- Participate in broader meetings to review new services/providers.
- Additional responsibilities as requested.
Qualifications
- Bachelor's Degree in Business or related field required
- 0-3 years experience in a vendor management or data services role preferred
- Commitment to satisfying internal customers
- Ability to collaborate effectively within teams to resolve issues
- Strong oral and written communication skills
- Emerging industry knowledge, including knowledge of data management and business unit vendors
- Ability to establish priorities and work within deadlines
- Proficient in Microsoft Office computer software
- Strong organizational skills and detail orientation
