Job Summary
Under the direct supervision of the Senior Rotations Counselor, the Clinical Rotations Counselor is responsible for contacting and identifying preceptors in their target region, identifying potential hospitals/clinics in this region, scheduling the clinical rotations of all third-year and fourth-year osteopathic medical students in this assigned region, ensuring all hospital/clinics have updated paperwork for students in target region, and establishing needed affiliation agreements for facilities students wish to rotate with for elective rotations. This position will require regular travel to assigned clinical rotation sites.
Duties and Responsibilities

- Assist the university in the implementation of the Statement of Purpose, Institutional Plan, and Financial Plan; and uphold the WCU and WCUCOM missions.
- Assists the Assistant Dean, Clinical Operations and Director of Clinical Education and Humanistic Principles in identifying, recruiting, establishing, and maintaining needed clinical rotations through healthcare facility affiliations in target region.
- Acquires and ensures accuracy of necessary paperwork for preceptor verification, as well as establishing appropriate communication and completing paperwork necessary for hospital affiliation agreements.
- Obtains, organizes, completes and disseminates necessary medical records and any additional documentation needed by WCUCOM and the associated hospital systems.
- Prepares tentative schedule grids for third and fourth year students in his or her region.
- Manage student accounts and all student rotations scheduled through E*Value and the Visiting Student Application Service (VSAS).
- Works with the Senior Rotations Counselor to develop a final schedule of rotations for students in his or her area.
- Serves as an academic counselor to students regarding residency, academic progress and degree plan requirements.
- Ensures that all core and elective clinical rotations meet WCUCOM clinical and graduation standards.
- Serves as a liaison between WCUCOM, NBOME, and proctors for COMAT.
- Must communicate with proctors and NBOME to schedule COMAT testing within each hub-site for the students
- Assists the Clinical Databases Manager in ensuring students and preceptors, for the assigned region, return all end-of-rotation paperwork, including but not limited to, evaluations, logs and tests.
- Assists department in ensuring all core preceptors have up-to-date credentials.
- Travels regularly to visit healthcare facilities in target region to ensure all policies and procedures of facility meet with WCUCOM standards. Also, ensures facilities in the region meet designated COCA and WCUCOM outlined standards.
- Works closely and communicates efficiently with other Clinical Rotations Counselors to ensure the requirements for each third and fourth year student are met.
- Ensures all elective clinical rotations that are scheduled outside of target region, including affiliation agreement status, are communicated clearly with other Clinical Rotation Counselors.
- Assist, when needed, in conducting job responsibilities in other target regions to meet departmental goals (this may include overnight travel).
- Attend and represent WCUCOM at local, state or national conferences when necessary.
- Contribute to a team effort and accomplish related results as required.
- Must attend and participate in staff development sessions and be willing to present or train at staff development session, when appropriate.
- Must always wear professional, business clothing, and present him or herself in a professional manner at all times.
- Must be available via cell phone for WCUCOM staff, faculty, and students after hours, if necessary. (WCUCOM cell phone allowances are applicable)
- Other duties as assigned by the Director of Clinical Education and Humanistic Principles, Assistant Dean, Clinical Operations, and/or senior administrative staff.
Physical Demands
- Must possess mobility to work in a standard office setting and use standard office equipment, including but not limited to, a computer, copier, and printer.
- Must be able to travel both in town and overnight for long periods of time, if required.
- Must be able to drive for long periods of time. Must also be able to sit for long periods of time.
- Must have vision to read printed materials and a computer screen, hearing and speech to communicate in person, and over the telephone.
- Must have strength and agility to move files, paper boxes, and minor office equipment.

Required Qualifications
- Bachelor’s Degree required. Degree in marketing or business administration preferred.
- Must have professional job experience in marketing, management, or a related field.
- Must Possess valid driver’s license and proof of insurance
- Must have excellent interpersonal, verbal and written communication skills.
- Must be able to work independently, work well with others and exercise discretion.
- Must be able to travel on a regular basis and visit all assigned areas.
- Must have excellent computer skills, particularly with using Excel spreadsheets and Microsoft office suite professional.
- Must demonstrate ability to multi-task, organize and prioritize, meet deadlines, and exercise good judgment at all times.
- Must be able maintain complete confidentiality.
Preferred Qualifications
- Master’s Degree in related field.
- Professional job experience in healthcare, marketing, and/or working with professional students in a college setting.
