What are the responsibilities and job description for the Mail Center Manager position at William Woods University?
The Mail Center Manager is responsible for the overall day-to-day operations of the University Mail Center including supervision of mail center employees. This is an hourly, twelve-month position with approximately 35 hours per week during the academic year and 30 hours per week during the summer months. This position is benefit eligible.
Essential Duties and Responsibilities:
- Sort and distribute incoming mail from the U.S. Post Office, UPS, Federal Express and other shippers to campus offices and student mail boxes.
- Pickup and process all outgoing mail from campus offices by required deadlines.
- Prepare large bulk mailings for departments as needed.
- Assist departments with special mailings and projects as needed.
- Responsible for the operation of the postage meter machine. Work with vendor on training, software updates, and issues with the machine.
- Record and report all department charges to the Business Office on a monthly basis.
- Balance small cash drawer and maintain adequate supply of stamps for distribution.
- Assign and maintain all student mail boxes and forward all mail as appropriate.
- Purchase supplies for the Mail Center as needed and prepare purchase order for all department purchases.
- Stay up to date with postal regulations and changes in postal requirements.
- Provide excellent customer service to all constituents of the University including students, parents, faculty, staff, and visitors.
- Responsible for staffing including supervising and training of employees.
- Be knowledgeable about William Woods University by having a thorough understanding of all the University and its mission.
- Represent William Woods University in a professional manner.
Position Requirements:
- A high school diploma is required.
- Knowledge of postal regulations and mail operations is preferred.
- A suitable candidate must have the ability to communicate and interact effectively with people, have outstanding customer service skills and have the work ethic to complete tasks independently.
- Desirable qualities include flexibility, a self-starter, willingness to learn and commitment to work within a team.
- Candidate must demonstrate good computer skills as well as good written and verbal communication skills.
