THIS POSITION IS LOCATED IN OUR SANTA CLARITA, CA HEADQUARTERS / SOCAL DIVSION OFFICE. THIS IS NOT REMOTE.

SUMMARY / OBJECTIVE :

Performs a wide variety of administrative functions, to support the day-to-day operations of the Accounting Department. Detail-oriented and motivated individual to assist with processing accounts payable transactions and managing vendor relationships.

ESSENTIAL JOB DUTIES :

• Answer, screen, and direct phone calls.
• Sort and process mail.
• Record, track, and distribute incoming checks.
• Process accounts payable transactions, including reviewing backup documents, invoice entry, coding, and payment processing in a timely and accurate manner.
• Match invoices to purchase orders and send for verification and payment approval.
• Resolve discrepancies with vendors and internal departments to ensure invoice accuracy.
• Assist with preparing checks, electronic payments, and expense reimbursements.
• Maintain accurate and organized vendor records, including preliminary lien notices and W-9 forms.
• Monitor and manage the AP email inbox, responding to vendor inquiries professionally and promptly.
• Ensure adherence to company policies and industry standards in all transactions and processes.
• Support the accounting team with other duties as needed, contributing to a collaborative team environment.

EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES :

High School diploma required; Some administrative experience required.

Prior experience in an accounting setting is beneficial but not required.

Strong computer aptitude to include MS Office Suite.

Knowledge of administrative and clerical procedures and systems such as word processing, managing files, records, other office procedures and terminology.

Excellent customer service mindset.

Ideal candidates will be personable, approachable, self-starter, creative, detail oriented with solid organizational, time management and follow up skills, with a can-do attitude.

Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Able to sit, stand, stoop and bend throughout the day. Able to lift up to 20lbs on a semi-consistent basis.
