Position Overview:
We are seeking a Billing Specialist in our Portland office. Primary duties include, but are not limited to, preparing client invoices from edited billing data, posting invoices to client and general ledger, and submit completed invoices to clients according to client billing requirements. This position requires observing confidentiality of client and firm matters. This is a hybrid position allowing for up to two remote work days per week dependent on the needs of the department, attorneys, and clients.
Requirements:Responsibilities of Billing Specialist:
This position generally involves recurring work situations with occasional variation from average to moderate complexity. The employee must perform all duties with minimal supervision. Overtime might occur during periods of high workload.Responsibilities for this position include but are not limited to the following:
- Prepare draft bills from data submitted using billing software, record special requests from clients and attorneys and respond appropriately.
- Edit and correct bills submitted either via billing software or on paper, proofread to ensure all edits and special requests have been completed.
- Produce final invoices, prepare for mailing or electronic billing using e-billing software, run duplicate copies and balance batch files.
- Enter disbursements into computerized accounting system or Excel for importing into computerized accounting system.
- Provide Work-In-Progress and Billing and Payment information as requested.
- Run management report on status of all billing memos from billing software.
- Facilitate entry and approval of matter information, timekeeper budgets, and expert invoices in third-party billing sites according to client billing guidelines.
- Compile special billing tasks, such as write-downs and nonstandard realizations of work in progress (WIP); cost share bills, final bills, multi-party bills, contingent fee and on-completion bills, and on-account bills.
- Maintain and file all documentation used to create final invoices.
Qualifications of Billing Specialist:
- Must be well-organized and a self-starter.
- Strong customer service skills, with an emphasis on collaboration.
- Math, grammar, and spelling aptitude.
- Ability to follow standard filing procedures.
- Proficiency in the MS Office Suite; emphasis on Excel; ability to understand and work with complex, computerized accounting systems.
- Accuracy and attention to detail.
- Ten key by touch; speed and accuracy with keyboard.
- Strong communication skills, including writing, speaking and active listening.
- Familiarity with basic office policies and procedures.
- Ability to operate office equipment.
Additional experience and educational preferences: Any equivalent combination of education and experience that provides the applicant with the knowledge, skills, and abilities to perform the job.
- Required: A high school diploma or equivalent.
- Required: 2 years of experience working with computerized accounting systems.
- Preferred: Experience in law firm or other professional services organization.
- Preferred: Education or training in accounting.
Salary Range and Benefits: $57,000-$69,000 – This salary range is dependent upon a variety of factors, which include but are not limited to the following: the candidate’s relevant experience, skill level, and demonstrated ability to perform all of the essential functions of the position as well as the ability to perform tasks which would arise from the needs of the position or as assigned and all of the qualifications listed in the job description. Working Conditions: This position can work remotely, based on the needs of the attorneys and clients. The need to be in the office cannot be predicted as the work assigned will be based on multiple factors. When in the office normal office environment with little exposure to excessive noise, dust, temperature, etc. Must be able to remain in a stationary position 50% of the time; frequently operates a computer and other office machinery such as a calculator, copy machine, and computer printer; often works under deadlines; occasionally needs to move about the office to access file cabinets, machinery, etc. Ability to occasionally lift objects weighing up to 10 pounds. Travel outside the office may be necessary occasionally.
