Pay: $19.00 - $20.00/hour

The Business Intake & Conflicts Administrative Assistant is a member of the Williams Lea team delivering exceptional customer service to our global legal client by supporting the Business Intake Conflicts department. This position conducts research and performs analysis to ensure that engagement and waiver letters and client policy documents are properly identified and stored in the online Client Relationship Library (CRL) for prompt and accurate retrieval by Firm attorneys and staff. Provides assistance to client attorneys and employees with accessing and retrieving documents.
Essential Functions:
- Analyzes client relationship documents for scope of work, parties and terms of business
- Corresponds with attorneys and secretaries for more information/clarification as needed
- Follows-up to obtain documents after matter opening by reviewing tasks in client database system for the collection of all outstanding waiver and engagement letters
- Processes documents directed to the Waivers and Engagement Letters Inbox
- Responds to requests from attorneys and staff for documents and how to retrieve them
Qualifications
Education/Training/Certifications:
- Associate’s degree in a related field. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job
Professional Experience:
- Minimum of two years of related experience, preferred
- Prior experience working in a professional services or law firm setting, preferred
Technical Skills:
- Proficiency in Microsoft Office products, required
- Knowledge of law firm business intake processes, preferred

- Strong written and verbal communication skills, able to communicate effectively and in a professional manner with all levels of the Firm
- Ability to work in a diverse team environment and effectively support the demanding needs of the Firm
- Ability to work under pressure, meet deadlines with shifting priorities

- Strong customer service skills, able to anticipate needs
- Strong attention to detail, organizational skills and the ability to handle multiple projects
